Job Description

The Office Administrator (OA) plays a vital role in ensuring smooth office operations and supporting key administrative functions within the local Region and company. This role acts as a liaison between the branch and Finance and Human Resources Service Center while embodying the Values of Professionalism, Focus, Passion, and Responsibility. The OA supports the General Sales Manager and branch operations, managing clerical activities, HR coordination, and payroll processing to maintain organizational efficiency.

 

Responsibilities

  • Manage daily office administrative activities including mail, shipments, supplies, and equipment maintenance
  • Support regional administrative needs of the General Sales Manager and branch operations
  • Coordinate HR functions such as new hire paperwork, timecard tracking, recruiting documentation, and answering policy questions
  • Provide payroll processing and route paperwork support to the Finance Shared Services Center
  • Perform daily balancing of routes using the Encompass Route Accounting System and ensure documentation is complete
  • Answer incoming office calls professionally and direct them accordingly
  • Plan, coordinate, and organize meetings and events
  • Code and obtain approval for operating expenses
  • Support sales activities including Tell-Sell calling duties where applicable
  • Ensure proper filing, record retention, and adherence to state and federal guidelines
  • Collaborate across the organization to share best practices and maintain a professional company representation

 

Required Qualifications

  • High School Diploma or GED
  • Strong verbal and written communication skills
  • Strong mathematical and technical skills, including proficiency with smartphones and Microsoft Office
  • Exceptional organizational skills with the ability to manage multiple priorities
  • Excellent time management and punctuality
  • Fluency in English

 

Preferred Qualifications

  • 2+ years of office administration experience
  • Prior experience in customer service, human resources, office management, or accounting
  • Experience with Direct Store Delivery or Route Accounting preferred
  • Additional language skills considered an advantage
