Job Description
Quality Systems Assistant
Objective: Become familiar with Quality system and assigned responsibilities.
Training will include, but is not limited to:
- QMS structure and document control.
- AS9100 and Nadcap awareness.
- Quality records and filing requirements.
- CAPA/MOC and Quality trackers.
- Calibration, verification, and preventive maintenance.
- KPI reporting.
- Raw-material and production-record support.
- Audit readiness and objective evidence.
- Applicable X3 functions.
Expectation: Perform basic administrative Quality activities with supervision and recognize when an issue must be escalated.
Objective: Begin independently managing routine assigned activities.
Expected development includes:
- Maintaining assigned schedules and trackers.
- Following up with action owners.
- Coordinating calibration/service activities.
- Updating Quality records and KPIs.
- Collecting CAPA/MOC and audit evidence.
- Supporting document control and training records.
- Identifying overdue or incomplete activities.
Expectation: Routine activities should require limited reminders from the Quality Manager.
Objective: Take ownership of recurring Quality administrative responsibilities.
Expected development includes:
- Proactively monitoring upcoming requirements.
- Maintaining accurate and current Quality records.
- Following up on overdue actions.
- Preparing concise weekly status information.
- Supporting continuous audit readiness.
- Escalating compliance concerns promptly.
- Identifying opportunities to improve administrative processes.
Expectation: The Assistant should be able to manage routine Quality-system administration with limited supervision while escalating technical decisions to the Quality Manager.
