Job Description
This position supports a large-scale construction project in New Florence, Missouri by providing day-to-day administrative and project controls support to the project team. The Project Administrative Coordinator works closely with project managers and project controls leadership to ensure accurate documentation, timely reporting, and effective coordination of project activities in a fast-paced construction environment.
Responsibilities- Provide daily administrative and project coordination support to project managers and project controls leadership.
- Maintain accurate and up-to-date project documentation, including construction documents, reports, logs, and records.
- Assist with document control activities such as organizing, tracking, and distributing project documents and correspondence.
- Support pay applications, invoicing, and related financial documentation to ensure timely and accurate processing.
- Assist with equipment tracking and reporting to support project controls and field operations.
- Prepare, update, and distribute regular project reports using Microsoft Office and other project tools.
- Enter and maintain data in project systems and software, ensuring accuracy and consistency.
- Follow established project processes, procedures, and reporting requirements while meeting time-sensitive deadlines.
- Coordinate with construction management, project engineering, and other team members to support daily project needs.
- Learn and utilize project-specific tools such as Textura and LCP Tracker under the guidance of project controls and senior project leadership.
- Support the project team in a fast-paced environment by prioritizing tasks, managing competing deadlines, and maintaining organized records.
- Collaborate closely with onsite staff to address administrative issues, resolve discrepancies, and improve workflow efficiency.
- One to five years of experience in construction administration, project coordination, or a related field.
- Experience supporting construction projects, preferably in a large-scale or fast-paced environment.
- Proficiency with Microsoft Office, including applications used for reporting and documentation.
- Experience with project coordination, construction administration, or project controls support.
- Strong attention to detail and organizational skills when handling documents, data, and reports.
- Ability to follow established processes and procedures while meeting time-sensitive deadlines.
- Comfort working in an onsite construction office environment within an active jobsite.
- Willingness and ability to learn project-specific tools and reporting requirements, including systems such as Textura and LCP Tracker.
- Effective communication skills to work closely with project managers, project controls leadership, and other team members.
- Ability to multitask and stay organized under pressure in a high-accountability setting.
- Background in construction management, project engineering, or a related discipline is beneficial.
- Experience with document control processes and construction document management.
- Familiarity with invoicing, pay applications, and construction-related financial documentation.
- Exposure to large-scale construction projects or heavy construction environments.
- Interest in developing a career in project controls, office engineering, or project management.
- Motivation to gain hands-on experience with industry-standard tools such as Microsoft Office, Textura, and LCP Tracker.
- Ability to build strong working relationships with cross-functional project teams.
- Proactive mindset with a focus on continuous learning and process improvement.
This role is based onsite in an active, fast-paced heavy construction environment in New Florence, Missouri. The project office is clean, well organized, and serves as the primary workspace for administrative and project controls activities. The surrounding jobsite is busy, can be loud at times, and is currently a dirt site with ongoing equipment movement and field activity. Work is deadline driven and supports a major project with tight schedules, requiring comfort with multitasking and working under pressure. The position involves close collaboration with project managers and project controls leadership in a dynamic, high accountability setting, offering hands-on exposure to a high-visibility construction project and practical training with tools such as Microsoft Office, Textura, and LCP Tracker.
Job Type & LocationThis is a Contract to Hire position based out of New Florence, MO.
Pay and BenefitsThe pay range for this position is $25.00 - $32.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
