Collections Specialist

Location: Conyers, Georgia
Department: Environmental, Health, Safety & Training (QHSE)
Salary: Up to $80,000 annually

We are seeking a highly organized and detail-oriented Collections Specialist to join our team in Conyers, GA. This position plays an important cross-functional role by supporting customer collections and account follow-up while providing administrative, scheduling, and coordination support to the Quality, Health, Safety & Environmental (QHSE) team.

The ideal candidate is comfortable working across departments, communicating with customers regarding outstanding balances, maintaining accurate records, coordinating schedules, and managing multiple priorities in a fast-paced operational environment.

Key Responsibilities

Collections & Accounts Receivable Support

  • Manage assigned customer accounts and conduct timely follow-up on outstanding invoices and past-due balances.
  • Contact customers professionally by phone and email regarding payment status and account balances.
  • Research payment discrepancies, short payments, unapplied payments, and outstanding account issues.
  • Maintain accurate documentation of collection activities, customer communications, commitments, and account status.
  • Partner with Accounting, Operations, and other internal teams to resolve invoice or billing discrepancies that may delay payment.
  • Monitor aging accounts and prioritize collection activity based on account status and business needs.
  • Assist with account reconciliation and preparation of collection-related reports.
  • Escalate significantly delinquent accounts or unresolved issues appropriately.

QHSE Administrative & Scheduling Support

  • Provide day-to-day administrative support to the QHSE team.
  • Coordinate meetings, training activities, appointments, and departmental schedules.
  • Maintain accurate calendars, records, spreadsheets, reports, and departmental documentation.
  • Assist with tracking deadlines, scheduled activities, and required follow-up items.
  • Support communication and coordination between QHSE, Operations, Accounting, and other departments.
  • Assist with preparation and organization of reports, presentations, correspondence, and other administrative materials.
  • Maintain confidential and sensitive business information appropriately.

Qualifications

  • 3+ years of experience in collections, accounts receivable, administrative support, or a related business function preferred.
  • Previous experience managing customer accounts and communicating regarding outstanding balances strongly preferred.
  • Strong organizational skills with the ability to manage competing priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to maintaining accurate records.
  • Ability to research discrepancies and follow issues through resolution.
  • Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
  • Experience working with accounting, ERP, scheduling, or customer management systems preferred.
  • Ability to work collaboratively across Accounting, Operations, QHSE, and other business functions.
  • Professional and tactful approach when handling sensitive customer or financial matters.
  • Ability to work independently while contributing effectively within a team environment.
