Pay: $30 – $38 / hour

Work Schedule: Monday through Friday, 8:00 a.m.–5:00 p.m. Hybrid schedule requiring three days onsite each week.

Job Description:

The Talent Acquisition Coordinator will provide high-level scheduling and administrative support to a fast-paced Talent Acquisition team. This position will focus heavily on coordinating complex interviews for executive and senior-level candidates while delivering polished, white-glove service throughout the recruitment process.

The ideal candidate will bring three to five years of recruiting coordination or high-volume scheduling experience, including direct experience working with executives, executive assistants, recruiters, and hiring leaders. This individual must be proactive, highly organized, comfortable taking ownership of scheduling, and persistent when coordinating with busy stakeholders.

The coordinator will also be highly visible to candidates and executives visiting the office, making professionalism, executive presence, communication skills, and attention to detail essential.

Key Responsibilities:

  • Lead complex interview scheduling for executive, senior-level, and professional candidates involving multiple interviewers and stakeholders.
  • Coordinate directly with executives and executive assistants to secure availability, resolve conflicts, and keep interview processes moving.
  • Create detailed interview schedules, candidate itineraries, meeting invitations, travel plans, and supporting materials.
  • Serve as a polished, welcoming point of contact for candidates and executives participating in onsite interviews.
  • Arrange candidate travel, including flights, hotels, ground transportation, and other interview-related logistics.
  • Manage a high volume of interview requests while balancing shifting priorities, limited calendar availability, and time-sensitive changes.
  • Post and maintain job openings across the applicant tracking system and external recruiting platforms.
  • Partner closely with recruiters, Talent Acquisition leaders, hiring managers, HR team members, and administrative partners.
  • Track candidate progress, referrals, interview feedback, next steps, and disposition activity throughout the hiring process.
  • Support pre-employment requirements and help coordinate an organized transition from offer acceptance through onboarding.
  • Prepare offer-related correspondence, interview documents, meeting materials, presentations, and other recruiting communications.
  • Monitor recruiting activities and compliance deadlines to ensure all required steps are completed accurately and on time.
  • Provide guidance to internal users and candidates navigating the applicant tracking system.
  • Assist with recruiting events, job fairs, reporting, data analysis, presentations, and special projects as needed.
  • Identify scheduling concerns early, follow up persistently, and recommend solutions before delays affect the candidate experience.
  • Protect confidential candidate, employee, and organizational information.
  • Provide additional recruiting and administrative support based on the evolving needs of the Talent Acquisition team.

Qualifications:

  • four to five years of experience in recruiting coordination, Talent Acquisition operations, executive scheduling, or a related administrative function.
  • Demonstrated experience coordinating high-volume and complex interview schedules.
  • Experience supporting executive or senior-level interview processes and working directly with executive assistants.
  • Background providing polished, high-touch service to candidates, hiring leaders, and internal stakeholders.
  • Experience coordinating travel and preparing detailed interview itineraries.
  • Previous responsibility for job postings, candidate communication, interview scheduling, and post-offer onboarding activities.
  • Ability to independently drive scheduling processes and follow up with difficult-to-reach stakeholders.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience with Oracle Recruiting Cloud, Oracle ATS, Indeed, or a comparable applicant tracking system is preferred.
  • Bachelor’s degree in Human Resources, Business, or a related discipline is preferred but not required.
  • Exceptional accuracy, organization, time management, and follow-through.
  • Strong written, verbal, and interpersonal communication skills.
  • Professional demeanor and strong executive presence.
  • Comfortable communicating by phone and addressing scheduling issues directly.
  • Ability to manage multiple urgent priorities in a fast-moving and frequently changing environment.
  • Strong judgment and discretion when handling confidential information.
  • Collaborative, personable, adaptable, and solutions-oriented.
  • Able to influence and coordinate effectively without direct authority.
