Location: Fairfax, VA
Salary: $40,000–$60,000, depending on experience
Employment Type: Contract-to-Hire
A respected organization working closely with state and local government is seeking an experienced Administrative & Office Operations Specialist to join its Fairfax, Virginia team. This position is highly collaborative and combines office management, executive support, administrative coordination, and membership services. The ideal candidate will be comfortable managing competing priorities, handling confidential information, supporting senior leadership, and serving as a central point of contact for a busy office.
Key Responsibilities
- Support the day-to-day operations of a busy professional office and serve as a central point of contact for visitors, calls, and general inquiries.
- Provide administrative and executive support to senior leadership, including calendar management, meeting coordination, conferences, panels, and networking events.
- Assist with managing executive email correspondence and ensuring timely follow-up on important communications.
- Coordinate meetings, events, schedules, and other organizational activities.
- Support membership-related administrative processes, including enrollment, documentation, records, and internal checks and balances.
- Handle sensitive and confidential information with discretion and professionalism.
- Maintain accurate records, files, databases, and other organizational documentation.
- Assist with a variety of administrative projects and operational needs across the organization.
- Coordinate with staff, members, external partners, and other stakeholders.
- Help ensure the office remains organized, professional, and efficient.
- Take on additional responsibilities as needed to support organizational priorities.
Qualifications
- 2+ years of experience in office administration, office management, executive support, membership services, or a related field.
- Strong organizational skills with the ability to manage multiple priorities.
- Experience supporting senior-level professionals or executives is highly valued.
- Strong written and verbal communication skills.
- Comfortable handling confidential and sensitive information.
- Proficiency with Microsoft Office and common business technology.
- Professional, dependable, and service-oriented approach.
- Strong attention to detail and ability to follow established processes.
- Ability to work independently while also collaborating effectively with a small team.
