This role supports an adult neurology department by providing both clinical and administrative assistance to physicians and patients. You will focus on taking vital signs, rooming patients, preparing them for examinations, and managing front-desk activities such as check-in, check-out, scheduling, and registration. Because neurology patients present with a wide range of conditions, you will calmly de-escalate challenging interactions and maintain a professional, compassionate approach to patient care while ensuring accurate documentation in the EPIC electronic health record system.
Responsibilities
- Perform patient check-in and check-out processes in a timely and professional manner.
- Room patients efficiently, ensuring they are prepared and comfortable for examinations.
- Measure and record vital signs, including blood pressure, pulse, temperature, and other basic measurements as required.
- Prepare patients for examinations by assisting with positioning, explaining procedures, and addressing questions or concerns.
- Perform basic lab tests as directed by clinical staff and according to established protocols.
- Schedule and register new and returning patients, ensuring accurate and complete information in the system.
- Handle incoming calls from patients, addressing questions, routing calls appropriately, and documenting relevant information.
- Monitor new and return patient contact to support timely follow-up and continuity of care.
- Record and update patient medical histories, ensuring accuracy and completeness in the EPIC electronic health record.
- Enter all clinical and administrative information into the EPIC EHR system in a precise and timely manner.
- Monitor supply inventory to ensure adequate clinical supplies and equipment are available for daily operations.
- Clean and stock exam rooms as needed, maintaining a safe, organized, and sanitary environment.
- Support physicians by performing delegated clinical tasks, allowing them to focus on hands-on patient care.
- De-escalate interactions with patients who may be distressed or frustrated, using calm, professional communication and empathy.
- Collaborate with clinical and administrative team members to support efficient patient flow and high-quality care in the neurology department.
Essential Skills
- Completion of a Medical Assistant program leading to Certified Medical Assistant status (such as CCMA or RMA).
- Current and updated Basic Life Support (BLS) certification.
- At least 1 year of experience as a medical assistant in any clinical focus or discipline.
- Experience taking vital signs, including blood pressure, pulse, temperature, and other basic measurements.
- Experience rooming patients and preparing them for examinations.
- Hands-on experience with patient registration and patient scheduling.
- Ability to perform basic lab tests in a clinical setting.
- Proficiency with electronic health record systems, with EPIC experience strongly preferred.
- Strong skills in medical assisting, including patient care and support for clinical procedures.
- Ability to handle patient phone calls professionally, including triaging questions and routing information appropriately.
- Capability to record and update patient medical histories accurately and thoroughly.
- Skill in monitoring and maintaining supply inventory in a clinical environment.
- Demonstrated ability to remain calm, professional, and empathetic when de-escalating challenging patient interactions.
- Strong attention to detail and accuracy in documentation and data entry.
- Effective communication skills to work collaboratively with physicians, nurses, and other healthcare professionals.
Work Environment
This position is based in a clinical neurology department within a modern healthcare setting. You will support two locations within a medical campus, including clinics on the 6th and 7th floors of a clinical ambulatory facility. The role follows a Monday through Friday schedule, typically from 8:00 a.m. to 4:30 p.m., offering a stable daytime work routine. You will work closely with physicians, nurses, and other medical assistants in a team-oriented environment that uses the EPIC electronic health record system and standard clinical equipment for vital signs, basic lab tests, and patient examinations. The department emphasizes an inclusive, collaborative culture where people work together to develop new ideas, tackle challenging problems, and support one another’s well-being. The organization values a healthy work-life balance, providing an environment where faculty and staff can learn, grow, and find meaning and connection in their work while making a positive impact on patients and the broader community. Dress expectations align with a professional clinical setting, with appropriate medical attire suitable for direct patient care and work in exam rooms.
