Job Description

The Title Insurance Clearance Officer is responsible for reviewing title searches, identifying and resolving title defects, and coordinating the clearance of requirements necessary to issue title insurance policies and facilitate real estate closings in New Jersey. This position works closely with title examiners, attorneys, lenders, settlement agents, underwriters, and other parties to ensure that title issues are properly investigated, documented, and resolved in accordance with New Jersey requirements and company underwriting standards.

Responsibilities

Review New Jersey title searches, title reports, commitments, and supporting documentation.

Examine title for liens, judgments, mortgages, tax issues, probate matters, unreleased interests, municipal charges, open permits, and other potential title defects.

Identify title requirements and determine the documentation or corrective action necessary for clearance.

Prepare and maintain title clearance notes, requirements, endorsements, and closing instructions.

Coordinate with attorneys, lenders, municipalities, creditors, lienholders, and other parties to obtain releases, satisfactions, affidavits, payoff statements, corrections, and other required documents.

Review judgments, UCC filings, bankruptcy records, estate/probate documents, divorce records, corporate/LLC documents, and other instruments affecting title.

Research and resolve issues involving mortgages, judgments, tax liens, municipal liens, estate matters, ownership discrepancies, and prior conveyances.

Verify that liens and encumbrances have been properly satisfied, discharged, subordinated, or otherwise addressed before closing.

Review survey, tax, municipal, and other title-related information when applicable.

Communicate title requirements clearly and professionally to clients, attorneys, lenders, and settlement professionals.

Monitor outstanding requirements and follow up proactively to meet closing deadlines.

Escalate complex or unusual title matters to underwriting counsel or senior title personnel when appropriate.

Ensure clearance decisions comply with company underwriting guidelines and applicable New Jersey laws, regulations, and industry practices.

Maintain accurate electronic and paper title files and document all clearance activity.

Assist with last-minute title issues and closing-related questions as needed.

Protect confidential customer, transaction, and financial information.

Perform other duties related to title examination, clearance, and closing operations as assigned.


Requirements

3 -5 years of experience in title insurance, title examination, title clearance, real estate law, or a closely related field.

Working knowledge of New Jersey real estate title practices and recording procedures.

Strong understanding of title commitments, title searches, liens, judgments, mortgages, deeds, releases, and other real estate instruments.

Ability to independently research and resolve routine title defects.

Strong attention to detail and ability to identify inconsistencies or potential risks in title documentation.

Excellent written and verbal communication skills.

Strong organizational and time-management skills with the ability to manage multiple files and closing deadlines.

Proficiency with Microsoft Office, document management systems, and title production software.

Experience working for a New Jersey title insurance agency, title company, law firm, or underwriting company.

Experience with New Jersey county recording systems and municipal searches.

Familiarity with major title insurance underwriting requirements and standard title exceptions.

Experience clearing complex judgments, liens, estates, probate matters, bankruptcies, and municipal issues.

Familiarity with title production and search platforms.

Real estate, or title-related education or certification is a plus.

NJ Title Insurance License.
