Job Description
The Onboarding Coordinator provides administrative support throughout the pre-employment and new-hire onboarding process. This role is responsible for coordinating pre-employment requirements, maintaining accurate onboarding documentation, completing employment eligibility processes, and ensuring new hires are cleared and prepared for their first day.
Duties/Responsibilities
• Coordinates pre-employment requirements for new hires, including background checks and drug screenings.
• Reviews background check and drug screening statuses and follows up on outstanding requirements as needed.
• Completes Forms I-9, reviews employment eligibility documentation, and processes E Verify cases.
• Reviews new-hire onboarding documentation for accuracy and completeness.
• Assists new hires with completing required onboarding forms and documentation.
• Maintains accurate I-9, E-Verify, pre-employment, and onboarding records in accordance with company procedures.
• Prepares and maintains new-employee files and ensures required documentation is properly filed.
• Enters and updates new-hire information within the HRIS and other applicable systems.
• Communicates with recruiters, hiring managers, candidates, and other internal teams regarding onboarding status and outstanding requirements.
• Scans, files, emails, and maintains employment-related documentation. • Provides general administrative support related to onboarding and new-hire processing.
• Performs other related duties as assigned. Required Skills/Abilities
• Excellent organizational skills and attention to detail.
• Strong verbal and written communication skills.
• Ability to manage multiple new hires and onboarding processes simultaneously.
• Ability to handle confidential employee information appropriately.
• Strong follow-up skills and ability to meet deadlines.
• Ability to work effectively in a fast-paced environment.
• Proficiency with Microsoft Office Suite and HRIS or onboarding systems.
• Basic understanding of Form I-9, E-Verify, background screening, and other pre employment processes preferred.
