We are looking for an experienced Executive Assistant to provide dedicated support to the Head of School in Sewanee, Tennessee. This Contract position is ideal for someone who excels in a dynamic setting, communicates confidently with a wide range of stakeholders, and brings strong judgment to shifting priorities. The person in this role will help maintain an organized, responsive executive office while handling sensitive matters with professionalism and discretion.
Responsibilities:
• Oversee the Head of School’s schedule by arranging appointments, prioritizing commitments, and adjusting plans as needs change.
• Serve as a key point of coordination between the executive office and board members, faculty, staff, families, and other community partners.
• Review incoming requests and information, determine urgency, and address routine matters independently when appropriate.
• Anticipate upcoming needs and take proactive steps to keep daily operations running efficiently and without unnecessary disruption.
• Organize meetings and related communications, including preparation, scheduling, and follow-up on action items.
• Provide administrative support on a range of projects and routine office tasks that contribute to the effectiveness of the leadership team.
• Safeguard confidential information and handle sensitive situations with tact, sound judgment, and a high degree of professionalism.
• Help protect the Head of School’s focus by managing interruptions and ensuring attention remains on the highest-priority matters.• At least 2 years of experience supporting an executive, senior leader, or similarly high-level role.
• Demonstrated strength in calendar management and coordinating executive meetings in a fast-paced environment.
• Excellent written and verbal communication skills with the ability to engage effectively across all levels of an organization.
• Strong organizational skills with the ability to balance multiple deadlines and rapidly changing priorities.
• Proven ability to use discretion and maintain confidentiality when handling sensitive information.
• A service-oriented approach and the flexibility to step in wherever support is needed.
• High attention to detail combined with sound decision-making and proactive problem-solving skills.
