Location: Sarasota, FL
Pay Rate: $20.00–$22.00 per hour, depending on experience

Position Overview
Ad-Vance Talent Solutions is seeking a warm, professional, and detail-oriented Legal Administrative Assistant for a small, established family law firm in Sarasota. This position provides administrative and client support to two family law attorneys and a paralegal.
The office has a low-to-moderate telephone volume, and the Legal Administrative Assistant will generally work from a private, closed-door office with minimal office noise. Most daily communication will take place by telephone and email.
Because this individual will often be the first person a prospective or current client speaks with or meets, professionalism, warmth, discretion, and genuine empathy are essential. Clients may be navigating sensitive or stressful family matters, so the right candidate must be comfortable communicating calmly and compassionately while maintaining appropriate professional boundaries.
Primary Responsibilities
- Answer, screen, and appropriately route incoming telephone calls.
- Monitor and respond to administrative emails.
- Schedule appointments for prospective and current clients.
- Confirm appointments with clients one business day in advance.
- Greet clients upon arrival and escort them to the appropriate attorney’s office.
- Assist with prospective-client intake and administrative follow-up.
- Gather and accurately enter client and case information into Clio.
- Open, organize, and maintain electronic and physical client files.
- File and organize legal and administrative documents.
- Provide administrative support to two family law attorneys and a paralegal.
- Maintain accurate records and ensure all information is entered correctly.
- Handle confidential and sensitive client information with professionalism and discretion.
- Perform additional administrative duties as needed.
Qualifications
- Previous experience in a legal office, professional office, administrative support, reception, client intake, or customer service role is preferred.
- Excellent verbal and written communication skills.
- A warm, polished, and professional telephone manner.
- Strong customer service skills and a genuine desire to help people.
- Exceptional attention to detail and data-entry accuracy.
- Strong organizational, follow-up, and time-management skills.
- Ability to manage multiple responsibilities and changing priorities.
- Confidence communicating with clients, attorneys, and other legal professionals.
- Ability to handle confidential and emotionally sensitive information appropriately.
- Comfortable learning and using new technology and software platforms.
- Experience with Clio or another legal case-management system is preferred.
- Familiarity with Microsoft 365, Google Workspace/Gmail, and OneDrive is a plus.
- Current Florida Notary Public commission is preferred. Candidates who are not currently notaries must be willing to apply to become a Notary Public after hire.
