Timekeeping & Administrative Coordinator
Location: San Diego, CA (92123) Onsite, 5 days per week
Schedule: Monday–Friday | 5:15 AM–2:15 PM
Employment Type: 2 year W2 Contract with Potential for Full-Time Conversion
Pay Rate: $35–$37/hour

Position Overview
We are seeking an experienced Timekeeping & Administrative Coordinator to support the daily operations of a large employee group within a leading utility organization. This position will be responsible for maintaining accurate timekeeping records for 100+ employees, ensuring payroll-related information is entered and validated accurately and on time.
The ideal candidate will have previous experience supporting a union workforce, including timekeeping in accordance with a CBA, along with strong Microsoft Office and SAP skills.

Key Responsibilities

  • Maintain accurate timekeeping and payroll-related records for 100+ employees.
  • Enter, review, and validate employee hours, schedules, overtime, absences, and other timekeeping information.
  • Apply Collective Bargaining Agreement (CBA) rules and company policies when processing employee time.
  • Identify and resolve timekeeping discrepancies prior to payroll deadlines.
  • Utilize SAP to enter, review, and maintain employee and timekeeping information.
  • Respond to timekeeping and payroll-related questions from employees and leadership.
  • Coordinate employee schedules and support day-to-day workforce administration.
  • Prepare reports, spreadsheets, and operational documentation using Microsoft Office.
  • Organize and maintain department records, files, and documentation.
  • Assist leadership with communications, scheduling, reporting, and other administrative needs.
  • Ensure timekeeping activities comply with company policies, labor requirements, and established procedures.


Qualifications

  • High school diploma or equivalent required.
  • Union timekeeping experience with knowledge of Collective Bargaining Agreements (CBA) strongly preferred.
  • Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
  • Previous SAP experience.
  • Ability to support a high-volume employee population and meet strict payroll deadlines.
