Position summary

The Dispatch Lead coordinates daily roofing installations, crews, suppliers, internal material deliveries, and schedule changes for the Houston market. This is a hands-on coordination role with no direct reports. The position serves as a central point of contact for field crews, vendors, builders, purchasing, warehouse personnel, and the Houston Operations team.

Schedule and availability: The standard in-office schedule is 7:00 a.m. to 5:00 p.m. Supplier deliveries may begin around 6:00 a.m., and roofing crews may work until the job is complete or daylight ends. The Dispatch Lead must be available to give prompt direction when early-morning or evening questions arise. After-hours activity varies with daily operations.

Key responsibilitiesScheduling and dispatch
  • Coordinate Houston roofing installations and maintain the daily production schedule.
  • Finalize the next-day schedule, confirm purchase orders have been sent, and verify that crews and vendors are assigned.
  • Confirm completed homes and next-day availability with crews each day.
  • Update schedules and reschedule work in Hyphen Solutions, applicable builder portals, and internal systems.
  • Provide a mid-morning operations update covering crew, vendor, delivery, and jobsite issues.
  • Provide backup dispatch support to other markets when Houston workload permits.
Crew, supplier, and delivery coordination
  • Serve as the primary dispatch contact for Houston roofing crews, suppliers, and vendors.
  • Give timely direction when delivery, material, access, schedule, or jobsite questions arise.
  • Coordinate internal material deliveries with the warehouse manager and self-distribution team.
  • Maintain current crew and vendor records in BOLT, including availability and contact information.
  • Track open issues and escalate items that require an operation, purchasing, accounting, or management decision.
Builder and internal communication
  • Monitor the dispatch email inbox and respond to messages promptly.
  • Notify builders when homes move from the schedule or installation dates change.
  • Include the appropriate superintendent, account manager, builder contact, and internal team members in schedule-change communication.
  • Communicate clearly with builders and internal departments when timing, materials, labor, or job readiness may affect production.
Work orders, materials, and payroll support
  • Close completed decking and shingle work orders each day.
  • Create material-short work orders when a crew reports that a home is short on material.
  • Create the related material purchase order or coordinate with Purchasing to have it created.
  • Add roofing material takeoffs for Houston and Central Texas as assigned.
  • Research and help resolve crew payroll disputes by reviewing schedules, work orders, purchase orders, and supporting records.
Systems used

BOLT, Hyphen Solutions, Oracle NetSuite, QuickBase, Microsoft Outlook, Microsoft Excel, and applicable builder portals.

Reports to: Houston Operations Manager

Performance expectations
  • Complete the next-day schedule by the established daily deadline.
  • Confirm crew and vendor assignments before scheduled work begins.
  • Confirm required purchase orders before installation or material delivery.
  • Communicate schedule changes and job issues promptly to the correct parties.
  • Close work orders within the required timeframe and maintain accurate records.
  • Reduce missed, delayed, or incorrectly scheduled homes through active follow-up.
  • Maintain accurate crew availability and vendor information.
Required qualifications
  • Fluent Spanish and English communication skills.
  • Dispatch and scheduling experience in a deadline-driven operation.
  • Experience communicating directly with builders, customers, suppliers, vendors, or field teams.
  • Strong written and verbal communication skills.
  • Ability to manage changing priorities and give clear direction with limited notice.
  • Working knowledge of email, spreadsheets, scheduling tools, and business software.
  • Reliable availability for time-sensitive questions outside the standard daytime schedule when operations require it.
Preferred qualification
  • Roofing, residential construction, production, material-delivery, or field-operations knowledge.
