We are looking for an Executive Assistant to provide high-level support to senior leadership in Park City, Utah. This role is central to keeping priorities organized, communications streamlined, and daily operations running smoothly in a fast-paced environment. The ideal candidate is highly organized, exercises excellent judgment, and can manage sensitive matters with professionalism and discretion.
Responsibilities:
• Direct and optimize the executive’s schedule, balancing business priorities with protected focus time and personal commitments.
• Evaluate incoming meeting requests, determine the best course of action, and adjust appointments to maintain an efficient calendar.
• Anticipate scheduling challenges early and resolve conflicts before they affect deadlines or key relationships.
• Act as a central point of contact for internal and external communications, ensuring messages are handled promptly and professionally.
• Prepare agendas, briefing materials, and background summaries so the executive is well informed ahead of meetings and events.
• Attend select meetings, document decisions and next steps, and monitor follow-through on assigned action items.
• Organize board-related logistics, including meeting coordination, materials distribution, and post-meeting communication.
• Arrange domestic and international travel, manage itinerary updates, and complete expense reporting with accuracy and timeliness.
• Support strategic initiatives through research, status tracking, project coordination, and timely escalation of risks or delays.
• Foster strong stakeholder relationships by coordinating outreach, event participation, speaking engagements, and thoughtful follow-up gestures.• Proven experience supporting senior executives in an Executive Assistant or similar high-level administrative role.
• Strong ability to manage complex calendars, prioritize competing demands, and maintain attention to detail.
• Experience coordinating travel arrangements, including flights, lodging, ground transportation, and itinerary management.
• Excellent written and verbal communication skills with the ability to represent leadership professionally.
• Demonstrated ability to handle confidential information with discretion and sound judgment.
• Skilled in preparing meeting materials, tracking follow-up items, and supporting executive-level meetings.
• Comfortable managing multiple projects simultaneously in a fast-moving, deadline-driven environment.
