Our client is seeking a Front Desk / HR Coordinator to support both front office operations and HR administration in a fast-paced manufacturing environment. This role serves as the first point of contact for visitors while also playing a key role in onboarding, employee communications, scheduling, and day-to-day administrative support.
This is a highly visible position that requires strong organizational skills, exceptional attention to detail, professionalism, and the ability to manage multiple priorities. The ideal candidate is proactive, tech-savvy, customer service oriented, and enjoys working in a busy environment where no two days look the same.
Key ResponsibilitiesFront Desk & Administrative Support
- Greet visitors, guests, candidates, and contractors, ensuring proper sign-in, visitor screening, and badge assignment procedures are followed.
- Manage incoming calls and direct inquiries appropriately.
- Coordinate conference room scheduling, meeting logistics, and visitor accommodations.
- Prepare conference rooms before meetings and ensure cleanup afterward.
- Maintain front desk appearance and common areas.
- Unlock and secure facility access points as needed.
- Open incoming mail and route documents appropriately.
- Scan and distribute invoices to Accounts Payable.
- Update company phone lists and internal directories.
- Support leadership with administrative projects, expense reporting, and special assignments.
- Order lunches for visitors and meetings, coordinate coffee service, and maintain office refreshments.
Human Resources Support
- Assist with HR onboarding activities in a high-volume environment averaging 7-10 new hires per week.
- Communicate with candidates and new hires throughout the pre-employment, onboarding, and orientation processes.
- Create new hire folders, badges, photos, and facility announcements.
- Upload and maintain employee information across multiple systems.
- Schedule interviews and coordinate hiring manager calendars.
- Initiate and track background check communications.
- Assist with benefits enrollment and new hire paperwork.
- Maintain HR spreadsheets, tracking logs, and employee records.
- Learn and support basic functions within UKG/UltiPro and recruiting processes.
- Partner with managers and departments to ensure HR-related needs are addressed in a timely manner.
- Maintain strict confidentiality while handling sensitive employee information.
Compliance & Operations Support
- Support facility compliance requirements, including ITAR-related processes.
- Maintain badge records and visitor access documentation.
- Communicate effectively with HR, Operations, Purchasing, Accounting, Payroll, and other departments.
- Identify opportunities for process improvements and administrative efficiencies.
- Perform additional clerical and administrative duties as assigned.
- High school diploma or equivalent required; additional education is a plus.
- 2+ years of administrative, HR coordination, office management, or related experience.
- Strong computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint.
- Experience maintaining records, spreadsheets, and tracking systems.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Highly organized with exceptional attention to detail and follow-through.
- Ability to manage multiple priorities in a fast-paced, high-volume environment.
- Comfortable working independently with minimal supervision.
- Professional demeanor and polished presentation.
- Ability to build strong relationships with employees, candidates, managers, and visitors.
- Self-starter with a proactive approach to problem solving.
- Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
