Job Description
Responsibilities:
• Administer complete payroll processing for approximately 300 employees working in multiple states, ensuring pay is issued correctly and on schedule.
• Verify payroll data before final submission, identifying inconsistencies and correcting issues to maintain accuracy.
• Process employee pay changes and status updates, including onboarding, separations, incentive payments, and other compensation adjustments.
• Manage deductions and withholdings such as benefits, retirement contributions, and garnishments in accordance with plan and legal requirements.
• Maintain organized payroll records and uphold compliance with company standards as well as wage and hour regulations.
• Reconcile payroll-related accounts and review reporting to investigate and resolve discrepancies promptly.
• Support quarterly and annual payroll close activities, including year-end reconciliation and preparation of required tax documents.
• Respond to employee questions related to earnings, tax elections, direct deposit, and payroll procedures with professionalism and clarity.
• Partner with HR and Accounting to ensure employee information and compensation data remain accurate across systems.
• Assist with audits by preparing payroll documentation and contribute to stronger procedures, controls, and process improvements.
• At least 3 years of payroll experience, including hands-on responsibility for multi-state payroll administration.
• Proven background in full-cycle payroll processing for an employee population within the 101 to 500 employee range.
• Experience using ADP Workforce Now, ADP TotalSource, or a comparable ADP payroll platform.
• Solid understanding of federal, state, and local payroll tax rules and reporting requirements.
• Proficiency in Microsoft Excel, including functions such as VLOOKUP and pivot tables.
• Knowledge of payroll reconciliations and payroll-related accounting entries.
• Strong attention to detail, discretion with confidential information, and effective problem-solving ability.
• Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field is preferred; CPP certification is a plus.
