Job Overview for Administrative and Program Coordinator
The Lee Group is looking for an Administrative and Program Coordinator to join one of our valued clients in Hampton, VA. This is a temp-to-hire opportunity with a community-focused organization that serves local businesses and stakeholders through programs, events, and initiatives designed to support a thriving business district.
The Administrative and Program Coordinator will provide essential administrative and program support in a small, professional office environment. This position will coordinate meetings, assist with events, communicate with businesses and community stakeholders, support vendors and contractors, and help keep programs and projects organized and moving forward.
The ideal candidate is personable, curious, organized, and genuinely enjoys helping people. We are looking for someone who takes pride in providing excellent customer service and is comfortable interacting with individuals from a wide variety of backgrounds. Someone with previous customer service experience, including retail, restaurant, hospitality, or another people-focused environment, may be especially successful in this position.

Job Responsibilities of Administrative and Program Coordinator
- Prepare and distribute meeting agendas, minutes, and other materials for committee and board meetings.
- Maintain committee rosters, attendance records, organizational files, and other administrative records.
- Manage scheduling, reminders, follow-ups, and the general office calendar.
- Coordinate organizational meetings, including room setup, food orders, catering, and other meeting logistics.
- Assist with planning, promotion, and logistics for community and district events.
- Track and provide administrative support for sponsorships, grants, projects, and related timelines.
- Prepare the monthly newsletter for printing, bulk-mail preparation, mailing, and distribution.
- Provide administrative support for vendor and contractor relationships and help ensure services and contract-related activities remain on schedule.
- Support event operations, projects, and other organizational programs.
- Serve as a welcoming and helpful point of contact for businesses, community members, and other stakeholders.
- Respond to phone calls and inquiries and help connect individuals with appropriate information and resources.
- Assist coworkers and stakeholders as needs arise, taking a team-oriented approach to supporting the organization.
- Provide additional administrative and program support as assigned.
Job Qualifications of Administrative and Program Coordinator
- Bachelor's degree in Business Administration, Event Management, or a related field, or equivalent relevant experience in a related field is preferred but not required.
- 2-3 years of experience in administrative support, event coordination, program management, customer service, or a related field.
- Strong organizational skills and excellent attention to detail.
- Excellent written and verbal communication skills.
- Friendly, outgoing, and comfortable communicating with people from a variety of professional and community backgrounds.
- Strong customer service mindset with a willingness to go beyond the minimum to help others.
- Ability to manage multiple priorities and meet deadlines efficiently.
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
- Proficiency with Google Drive and Zoom.
- Experience with Canva, Adobe Creative Suite, or other graphic design tools is a plus.
- Curious, resourceful, and willing to listen, learn, and find solutions.
- Comfortable working collaboratively in a small office environment.
- Interest in community involvement and working with local businesses and stakeholders is highly valued.

Working Conditions & Physical Requirements of Administrative and Program Coordinator
- This is an in-office position in Hampton, VA.
- Work is primarily performed in a professional office environment with typical clerical physical requirements.
- Regular use of computers, phones, office equipment, and other standard office technology is required.
- The typical schedule is Monday-Friday for approximately 37.5 hours per week.
- The office generally operates at a moderate pace, with periods of increased activity surrounding major events and initiatives.
- Some organizational events will require extended hours, including occasional nights and weekends.
- Business casual attire is typical, with business formal attire required for certain meetings or events.
