About the Role
Buffalo Mountain Managers is a Summit County property management company serving homeowner associations across the High Country. We're hiring an Office Manager to run the day-to-day of our Frisco office, with a heavy emphasis on work order billing — making sure the work our contractors perform in individual units and common areas gets tracked, coded, and billed back to the right property, every time.
This is the role that keeps the money moving correctly. Contractors submit invoices for work across dozens of associations and hundreds of units; you're the person who makes sure each charge lands on the right account, gets billed accurately, and doesn't fall through the cracks. If you've done billing or job costing in property management, construction, or a trades office, this will feel familiar.
We're a small team, so the right person wears a few hats and takes ownership of their piece without needing to be managed closely.
What You'll Do
Work Order Billing (primary focus)
- Receive, review, and process contractor and vendor invoices for work performed at managed properties
- Match invoices to work orders and verify scope, pricing, and completion before billing
- Allocate and bill charges back to the correct association, property, and unit
- Track work orders from intake through billing and follow up on anything incomplete or unbilled
- Research and resolve billing questions from contractors, homeowners, and property managers
- Maintain clean, auditable records so month-end and board reporting stay accurate
Office Management
- Serve as the first point of contact for the office — phones, email, and walk-ins
- Coordinate scheduling and communication between contractors, property managers, and homeowners
- Maintain vendor records, insurance certificates, and W-9s
- Keep files, records, and office systems organized and current
- Order supplies and handle general office administration
- Support the management team with reporting, correspondence, and ad-hoc projects
What We're Looking For
Required
- Experience with work order billing, invoicing, job costing, or AP/AR — in property management, construction, a trades company, or a similar environment
- Strong attention to detail and accuracy with numbers; you catch the invoice that's coded wrong
- Comfortable with Microsoft Office / Google Workspace and learning new software quickly
- Clear, professional communication with contractors, homeowners, and board members
- Ability to juggle competing priorities and stay organized in a busy office
- Reliable, self-directed, and able to work in-office in Frisco
Nice to Have
- Property management or HOA experience
- Familiarity with AppFolio, Buildium, QuickBooks, or similar platforms
- Prior office management or administrative leadership experience
- Understanding of Summit County and the local contractor community
Schedule & Flexibility
This is a full-time, in-office position in Frisco. That said, we're flexible on schedule for the right person — if the hours need to shift to make the job work for you, we're open to that conversation.
Compensation & Benefits
- $45,000 – $55,000 per year, depending on experience
- This position does not currently include employer-sponsored benefits
