Established premier exterior remodeling company specializing in high-quality roofing, siding, windows, doors is looking for a proactive Project Coordinator/ Operations Assistant to join the team.

Position Overview

This role serves as the central operational hub, bridging the gap between our field installation crews, sales estimators, vendors, and clients. You will work closely with our Project Managers to ensure that exterior remodeling projects are scheduled accurately, materials arrive before the crews do, and homeowners are kept informed every step of the way.

Key Responsibilities

Project Coordination & Logistics

  • Production Scheduling: Coordinate and maintain the master production schedule for multiple exterior trades (roofing, siding, window installations) using our management software.
  • Crew & Trade Scheduling: Confirm availability and schedule specialized installation sub-contractors and internal crews to maximize efficiency and minimize downtime.
  • Permits & HOA Approvals: Prepare, submit, and track local building permit applications and Homeowner Association architectural requests to avoid project delays.

Operations, Procurement & Client Support

  • Material Orders & Logistics: Place accurate material orders with distributors (shingles, siding panels, custom window units), confirm delivery dates, and coordinate drop-offs at job sites.
  • Client Concierge: Act as the primary point of contact for homeowners once a contract is signed—providing clear updates on start dates, material arrivals, and progress.
  • Document Management: Maintain digital project folders containing contracts, change orders, accurate measurements, permits, and before/after photos.
  • Billing & Cost Tracking Support: Review vendor invoices and subcontractor pay requests against original purchase orders before routing them to accounting.

Qualifications & Skills

  • Experience: 1–3 years of experience in project coordination, logistics, or office operations. Experience in roofing, siding, window replacement, or residential construction is highly preferred.
  • Communication Skills: Exceptional communication skills—comfortable speaking professionally with municipal permit offices, distributors, field crews, and homeowners.
  • Organizational Mastery: High attention to detail with the ability to manage multiple fast-moving exterior projects simultaneously without dropping the ball.
  • Tech-Savvy: Proficient with Google Workspace / MS Office. Comfort using or learning construction CRMs (e.g., JobNimbus, Buildertrend, AccuLynx) is a significant advantage.
  • Resourceful Problem Solver: A calm under-pressure attitude; when supply chains delay custom windows or storms delay a build, you immediately find paths forward.
