Job Description
Job Summary:
The Project Assistant supports project management by coordinating schedules, resources, and documentation. They maintain accurate project records, handle administrative tasks such as data entry and correspondence, and assist in ensuring project milestones are met on time. This role requires strong organizational skills, proficiency in Microsoft Suite, and effective communication with team members and clients.
*MUST BE LOCAL TO BELLEVUE, WA. This is a full-time position that will last for the duration of the project (around six months). The project is scheduled to start the beginning of November 2026. After completion, there may be opportunity to transfer to another project.
Duties/Responsibilities:
- Assist in managing and organizing daily site activities, ensuring smooth communication among all project stakeholders (project managers, contractors, engineers, etc.).
- Maintain accurate, up-to-date records of site activities, including daily logs, materials, equipment, and personnel on-site.
- Review and process timecards, attendance, and other workforce-related documents.
- Track and manage project-related documentation, including permits, change orders, and inspection reports.
- Coordinate the delivery and inventory of construction materials and equipment, ensuring all items are on-site as needed.
- Assist in preparing reports, schedules, and other documentation for senior management.
- Handle incoming calls, emails, and correspondence related to site operations.
- Maintain an organized filing system for all site documents and ensure compliance with company policies and regulations.
- Ensure all safety protocols and site requirements are being followed, reporting any violations or issues.
- Support the project manager in scheduling and coordinating site meetings.
- Assist with billing and invoicing processes as necessary, ensuring accurate records of materials and labor costs.

Education Experience & Certifications:
- High school diploma or equivalent.
- Prior experience (1–3 years) in construction or related skilled trades.
- Valid Driver’s License
Physical Requirements:
The employee may be required to stand, walk, stoop, kneel, lift, carry, pull, grasp, climb, crawl, crouch, sit or bend over for periods without relief. The employee must be able to lift, carry and move up to 50 pounds as needed. Employees in this position must be able to climb ladders and stairs to access platforms and scaffolds, as well as walk around indoor and outdoor job sites with distances up to one mile on uneven, paved, gravel, dirt, or sandy surfaces. Employees must be able to work on elevated platforms, scaffolds, and landings. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth vision and the ability to adjust focus.
