Job Description

The Inventory Specialist is responsible for maintaining accurate inventory records and ensuring HVAC equipment, parts, materials, and tools are available when needed. This position supports service technicians and installation crews by receiving materials, organizing the warehouse, processing purchase orders, managing truck stock, and investigating inventory discrepancies.

The ideal candidate is organized, dependable, comfortable using inventory software, and familiar with HVAC parts and equipment. Candidates with Service Titan Inventory experience may qualify for higher salary


Essential Duties and Responsibilities

  • Receive HVAC equipment, parts, materials, and supplies from vendors.
  • Verify shipments against purchase orders, packing slips, and invoices.
  • Inspect deliveries for shortages, incorrect items, and damage.
  • Label, barcode, and place materials in their assigned warehouse locations.
  • Maintain accurate inventory quantities and locations in ServiceTitan or other inventory software.
  • Pick, stage, and issue materials for service calls, maintenance visits, and installation projects.
  • Process material transfers between the warehouse, technician trucks, jobs, and other inventory locations.
  • Maintain appropriate minimum and maximum stock levels.
  • Replenish commonly used parts and technician truck inventory.
  • Perform regular cycle counts and assist with annual physical inventory.
  • Investigate inventory discrepancies and complete necessary adjustments with management approval.
  • Create or assist with purchase orders and track outstanding orders.
  • Coordinate equipment and material returns, warranty parts, cores, and vendor credits.
  • Maintain organized records for refrigerant, serialized equipment, warranty parts, and high-value items.
  • Identify obsolete, damaged, slow-moving, or excess inventory.
  • Keep the warehouse, storage areas, and inventory bins clean, labeled, and organized.
  • Help load and unload equipment using appropriate material-handling equipment.
  • Coordinate with dispatchers, technicians, installers, project managers, purchasing personnel, and accounting staff.
  • Follow company safety procedures and properly handle refrigerants, chemicals, and hazardous materials.
  • Protect company inventory from loss, misuse, and unauthorized removal.
  • Perform other warehouse and operational duties as assigned.


Required Qualifications

High school diploma or GED.

Previous experience in inventory control, warehousing, purchasing, HVAC supply, or a related field is preferred.

Basic knowledge of HVAC equipment, parts, fittings, filters, electrical components, and installation materials is preferred.

Ability to use computers, tablets, barcode scanners, and inventory-management software.

Basic proficiency with Microsoft Excel and email.

Strong attention to detail and recordkeeping skills.

Ability to read purchase orders, packing slips, invoices, equipment model numbers, and part numbers.

Strong organizational, communication, and problem-solving skills.

Valid driver’s license with an acceptable driving record.

Ability to work independently and manage multiple priorities.

Forklift certification is preferred or must be obtained after hiring.
