Job Description
Position Summary:
The Purchasing Clerk is responsible for managing inventory, placing and tracking orders, and ensuring accuracy of products, pricing, and vendor information. This role plays a key part in maintaining operational efficiency by ensuring the right materials are available at the right time.
In addition to purchasing responsibilities, this position supports customer service functions, including order entry and communication with customers.
Key Responsibilities:
Inventory & Purchasing
· Monitor inventory levels and place orders to maintain appropriate stock
· Track open orders and ensure timely and accurate delivery
· Verify incoming shipments for accuracy and resolve discrepancies
· Ensure correct items are shipped out to customers
Database & System Management
· Maintain accurate product information, including descriptions, pricing, and lead times
· Update pricing and vendor data as needed
· Ensure system accuracy to support sales and operations
Vendor Management
· Build and maintain relationships with vendors and suppliers
· Communicate potential issues between vendor and salesforce
· Resolve issues related to orders, delays, or discrepancies
Customer Service & Order Processing
· Answer incoming phone calls and emails
· Process customer orders accurately and efficiently
· Enter orders into the system and coordinate with internal teams as needed
· Provide basic product and order status information to customers
Success Metrics:
· Reduce pricing

· Sourcing multiple vendors where possible
· Price breaks/quantity
· Inventory accuracy and availability
· Cycle counts
· Order accuracy (incoming and outgoing)
· Timeliness of purchasing and order fulfillment
· Accuracy of product and pricing data
· Responsiveness to customer and vendor inquiries
