We are looking for an experienced Litigation Secretary to support a busy legal team at a real estate law firm in New York, New York. This role is ideal for someone who can manage competing priorities, communicate effectively with attorneys and clients, and handle sensitive information with discretion. The successful candidate will bring strong organizational judgment, initiative, and the ability to work independently in a fast-paced legal environment.
Responsibilities:
• Prepare, revise, and finalize legal correspondence, pleadings, court-related documents, and client communications with a high level of accuracy.
• Coordinate filing activities, including electronic court submissions, and ensure documents are completed and delivered within required deadlines.
• Transcribe dictated notes and convert draft materials or verbal direction into clear legal documents, reports, and memoranda.
• Review documents carefully for formatting, grammar, and completeness, while managing copying, assembly, and distribution as needed.
• Provide responsive administrative support to attorneys by anticipating upcoming needs and helping keep daily workflows on track.
• Manage shifting priorities efficiently, organize assignments for maximum productivity, and follow through on urgent requests in a timely manner.
• Serve as a dependable point of contact for attorney and client requests, ensuring prompt responses and appropriate follow-up.
• Safeguard confidential client and firm information while maintaining organized records and clear communication standards.• At least 5 years of experience as a litigation secretary, with a background supporting commercial real estate legal matters.
• Demonstrated experience with court filings, including electronic filing procedures.
• Strong calendar management skills and the ability to coordinate deadlines in a high-volume practice.
• Proficiency in Microsoft Office and word processing for legal documents and correspondence.
• Experience with dictation and transcription in a legal support setting.
• Excellent written and verbal communication skills, with close attention to detail and accuracy.
• Ability to interpret complex instructions, use sound judgment, and work independently with minimal supervision.
