Summary
We are seeking a highly organized and detail-oriented Human Resources (HR) Administrative Assistant to join our team. In this role, you will provide support to the HR department by assisting with various administrative functions, ensuring smooth day-to-day operations, and facilitating the delivery of HR services to employees. You will handle tasks such as managing employee records, assisting with recruitment, and helping with employee relations initiatives. The ideal candidate must have strong verbal and written communication skills in both English and Spanish, a proactive attitude, and the ability to maintain confidentiality.
Essential Functions
- Administrative Support: Provide general administrative assistance to the HR department, including scheduling meetings and events, managing calendars, handling HR correspondence, and maintaining organized files both physically and electronically.
- Employee Records Management: Assist with the preparation and maintenance of employee records, ensuring that all information is up-to-date and in compliance with company policies and legal requirements.
- Recruitment Support: Help coordinate recruitment efforts, including posting job openings, reviewing applications, scheduling interviews, and assisting with onboarding processes for new hires.
- Onboarding assistance: Facilitate, assist, and streamline new-hire onboarding, including required documentation, onboarding workflows, and walking employees through each step of the onboarding process
- Compliance & Reporting: Assist in tracking and ensuring compliance with labor laws, company policies, and employee benefits programs. Prepare and maintain reports as needed.
- Employee Engagement & Communication: Serve as a point of contact for employees on HR-related inquiries, providing guidance on policies, procedures, and benefits. Help organize employee engagement activities and initiatives.
- Training Assistance: Assist in scheduling and coordinating training sessions, workshops, and other professional development activities for employees.
- Confidentiality: Maintain strict confidentiality regarding employee information and sensitive company data.
- Other HR Duties: Support the HR department with ad hoc tasks, projects, and initiatives to improve departmental effectiveness.
Job Requirements
- Education: High school diploma or equivalent required; Associate’s degree in Human Resources, Business Administration, or a related field preferred.
- Experience: Minimum of 1–2 years of administrative or HR-related experience preferred.
- Skills:
- Bi-lingual in both English and Spanish is required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Experience with HR software (HRIS) is a plus.
