  • Pay range is $24-$28/hr
  • Location: onsite in Carson, CA


We are looking for a motivated, personable, and detail-oriented individual to join our team as an Administrative Assistant / Front Desk Coordinator. As the first point of contact for everyone who calls or visits DMF, you will set the tone for the customer and visitor experience — covering the front desk, managing the main phone line, and helping keep the office running smoothly. Beyond the front desk, you will support a variety of administrative tasks, assist with property management, and handle personal matters for the COO. This is an exciting opportunity for someone eager to kick-start their career in a dynamic, fast-paced, and collaborative environment.


Responsibilities:


Front Desk & Reception

  • Greet customers, vendors, and guests warmly and professionally, and serve as the face of DMF at the front desk
  • Answer, screen, and route incoming calls on the main phone line; take accurate messages and handle general inquiries
  • Monitor the general company inbox and forward messages to the appropriate team member
  • Manage visitor sign-in, and notify employees when their guests arrive, following all site safety and security procedures
  • Receive, log, and distribute incoming mail, packages, and deliveries
  • Keep the lobby, conference rooms, and common areas clean, organized, and presentable
  • Reserve and prepare conference rooms for meetings, including setup, refreshments, and cleanup
  • Monitor and order office, kitchen, and breakroom supplies, and coordinate with office vendors and service providers
  • Support company meetings and events, including catering orders and on-site logistics


Administrative Support

  • Perform general clerical duties as assigned by the Manager of Executive Operations and COO
  • Support special projects and assignments as directed
  • Draft and edit simple correspondence and communications
  • Manage administrative tasks such as expense tracking, data entry, and record-keeping


Executive & Personal Support

  • Arrange travel accommodations for the COO, including flights, hotels, and transportation
  • Handle personal matters with discretion and professionalism
  • Run occasional personal and professional errands


Property Management Support

  • Assist with property management coordination, including scheduling repairs and inspections
  • Assist with tenant inquiries and requests, including occasional visits to the properties
  • Other duties as assigned


Qualifications:

  • Bachelor’s degree or equivalent; training in office or property administration is a plus
  • Strong organizational skills with the ability to multitask and prioritize
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work independently and collaboratively in a fast-paced environment
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Positive attitude, proactive mindset, and a willingness to take on new challenges
  • Strong problem-solving abilities and attention to detail
  • Access to a personal vehicle, a valid driver’s license with a clean driving record, and current auto insurance
  • One or more years of reception, front desk, customer service, or administrative experience preferred
  • Professional, friendly, customer-first demeanor with excellent phone and email etiquette
