Job Description
We are looking for a Customer Service Representative to support daily front-office and patient service operations in an ambulatory clinic in Seattle, Washington. This Long-term Contract position is ideal for someone who brings a service-focused mindset, strong organization, and the ability to keep schedules, communications, and patient interactions running smoothly. The person in this role will help create a welcoming experience for patients while partnering with clinical and administrative teams to maintain efficient day-to-day workflows.
Responsibilities:
• Respond to inbound patient calls promptly, provide helpful information, and direct requests to the appropriate team members when needed.
• Coordinate appointment scheduling and update calendars to keep provider and clinic schedules organized and accurate.
• Welcome patients during visits, assist with intake and rooming activities, and help ensure a respectful and comfortable experience.
• Enter and maintain patient and service-related information with a high level of accuracy, including order entry and related documentation.
• Handle payment collection and support revenue-related front-desk tasks in accordance with clinic procedures.
• Communicate routine follow-up information, including test results as directed, while maintaining professionalism and confidentiality.
• Address patient questions and service concerns with empathy, sound judgment, and a solutions-oriented approach.
• Work closely with physicians, managers, and support staff to keep daily operations efficient and promote patient safety.• High school diploma or equivalent required.
• At least six months of experience in customer service, a medical office, or a similar service environment; an associate degree may be considered in place of experience.
• Demonstrated ability to manage inbound calls, customer inquiries, and order entry responsibilities in a fast-paced setting.
• Strong verbal and interpersonal communication skills with the ability to interact effectively with patients, providers, managers, and clinic staff.
• Excellent organizational skills and close attention to detail, with the ability to handle multiple priorities at once.
• Proven ability to work independently and remain productive with limited supervision.
• Detail-oriented, positive, and approachable demeanor with a strong commitment to customer satisfaction.
• Familiarity with medical terminology is preferred.
