Front Office Coordinator
About the Role
Express Employment Professionals is seeking a friendly, organized, and customer-focused Front Office Coordinator to serve as the first point of contact for job seekers, associates, clients, and visitors. The Front Office Coordinator plays a vital role in creating a positive office experience while supporting recruiting, administrative, and customer service functions.
This position is ideal for a highly organized professional who enjoys helping people, thrives in a fast-paced environment, and can effectively manage multiple priorities while delivering exceptional customer service.
Key Responsibilities
Reception & Customer Service
- Create a positive first impression for all visitors and callers.
- Greet applicants and visitors promptly and professionally.
- Answer incoming phone calls, determine caller needs, and route calls appropriately.
- Provide outstanding customer service to job seekers, associates, clients, and team members.
- Document inquiry calls and applicant information accurately in the company database.
Applicant & Recruiting Support
- Manage applicant flow throughout the office to ensure an efficient and welcoming experience.
- Schedule interviews and orientations with Employment Specialists.
- Administer skills assessments and provide instruction as needed.
- Enter applicant information and maintain accurate records.
- Conduct initial inquiry calls and gather applicant information.
- Make outbound calls to prospective candidates from recruiting lists.
- Assist with recruiting initiatives, hiring events, job fairs, and community outreach activities.
- Send interview reminders and follow-up communications via phone and text.
Administrative Support
- Process and file applications, onboarding documents, and employment records.
- Type correspondence, prepare mailings, and maintain mailing lists.
- Maintain confidentiality of applicant, associate, and client information.
- Collect timecards and assist with payroll-related questions.
- Distribute paychecks to associates when applicable.
- Support office projects and team initiatives as assigned.
Office Operations
- Maintain a clean, organized, and professional office environment.
- Monitor inventory levels and order office supplies and applicant materials as needed.
- Ensure orientation packets and employment forms remain fully stocked.
- Assist in monitoring and responding to applicant and associate text message communications.
Compliance & Professional Development
- Follow all company policies, procedures, and staffing systems.
- Maintain knowledge of staffing services, office procedures, and employment-related documentation.
- Stay informed regarding applicable federal and state employment laws and regulations.
- Participate in ongoing training, coaching, and professional development activities.
- Support office goals and performance objectives through teamwork and accountability.
Qualifications
Required Skills

Preferred Qualifications
- Previous experience in a receptionist, front desk, administrative, customer service, recruiting, or staffing role.

- Experience working with databases, CRM systems, or applicant tracking systems.
Education & Experience
- High School Diploma or GED required.
- Previous customer service experience preferred.
- Strong interpersonal, communication, and organizational skills.
- Ability to work independently and collaboratively as part of a team.
- Proficiency with Microsoft Office and other business software applications.
