Job Description
We are looking for an experienced Legal Secretary to join a respected law practice on a contract basis with the potential to become permanent. This role supports a senior attorney whose work centers on estate planning, probate matters, trust administration, and business-related legal issues. The ideal candidate brings strong organizational skills, sound judgment, and a detail-oriented client-service approach while managing a busy legal desk with accuracy and discretion.
Responsibilities:
• Create, revise, and finalize a wide range of legal documents, including correspondence, pleadings, agreements, and matter-related paperwork with a high level of accuracy.
• Oversee the attorney’s schedule by coordinating appointments, hearings, meetings, deadlines, and client consultations to keep daily priorities on track.
• Serve as a key point of contact for clients, courts, notaries, witnesses, court reporters, and other external parties to facilitate timely communication and follow-up.
• Organize and maintain both digital and paper files in accordance with firm standards, ensuring records remain current, accessible, and properly documented.
• Prepare routine letters and supporting materials, assemble completed document packages, and assist with administrative tasks tied to active legal matters.
• Review incoming mail, email, and legal notices, then direct, sort, and track items so time-sensitive information reaches the appropriate parties promptly.
• Handle expense submissions and reimbursement documentation for the attorney, keeping records accurate and complete.
• Protect confidential client and case information at all times while exercising discretion in every interaction.
• Balance multiple assignments in a fast-paced legal setting, meeting deadlines while delivering responsive service to both attorneys and clients.• At least 5 years of experience in a legal secretary or legal administrative support role is required.
• Background supporting attorneys in estate planning, probate, trust administration, business law, or closely related practice areas is strongly preferred.
• Demonstrated strength in drafting, formatting, proofreading, and editing legal documents with careful attention to detail.
• Advanced working knowledge of Microsoft Office applications, particularly Word and Outlook.
• Excellent written communication skills, including strong grammar, spelling, and document accuracy.
• Ability to manage competing priorities independently and remain organized under deadline pressure.
• A detail-oriented approach, strong interpersonal skills, and a consistent commitment to client service are essential.
• Nevada Notary Public commission, or the ability to obtain one, is preferred.
