Front Desk Administrator
We are looking for an experienced and dependable Front Desk Administrator to support daily office operations in Denver, Colorado. This contract opportunity with potential for a permanent role is ideal for someone who enjoys being the first point of contact for visitors while also taking on a variety of administrative tasks that keep the office running smoothly. The right candidate will bring initiative and strong organizational skills to a fast-paced environment.
Responsibilities:
• Welcome guests, manage entry at the secured front entrance, and create a positive first impression for everyone visiting the office.
• Handle incoming phone calls through a multi-line system, direct inquiries to the appropriate team members, and take messages when needed.
• Sort, log, and distribute incoming mail while helping maintain accurate office records and tracking documents in Excel.
• Prepare basic correspondence and printed materials in Microsoft Word, including address labels and other routine office documents.
• Coordinate travel arrangements such as flights, hotel reservations, and related logistics for leadership and select team members.
• Support calendar management for several employees by scheduling meetings, organizing appointments, and reserving conference rooms.
• Assist with administrative finance tasks, including expense reporting, company credit card documentation, and invoice processing in internal systems.
• Monitor office supply levels, place orders as needed, and help ensure the workplace remains organized and fully stocked.
• Provide occasional support for company meetings and events by researching vendor options, gathering pricing, and assisting with planning details.
• 2+ years of experience in a front desk, receptionist, or administrative support role.
• Comfortable managing a multi-line phone system and handling a high volume of inbound calls with tact and efficiency.
• Working knowledge of Microsoft Word, Excel, and Outlook for scheduling, document preparation, and record tracking.
• Experience coordinating calendars, scheduling meetings, and arranging business travel.
• Strong interpersonal skills with a friendly, service-oriented approach and a detail-oriented demeanor.
• Able to work independently, stay productive during slower periods, and adapt to changing priorities.
• Willingness to learn new proprietary software and support a broad range of office and administrative tasks.
