About the Role

Pacific Pain & Regenerative Medicine is looking for a friendly, professional, and dependable Front Desk Receptionist to join our Downtown Los Angeles office. The front desk is an important part of the patient experience and the overall flow of our practice. We are looking for someone who is organized, comfortable in a fast-paced medical office, and genuinely enjoys working with patients and supporting a team. The ideal candidate communicates well, pays attention to detail, can manage multiple priorities, and takes initiative without needing constant direction. Fluency in both English and Spanish is required for this position.

Responsibilities

  • Greet patients and visitors in a professional and welcoming manner
  • Check patients in and out and ensure patient information is complete and accurate
  • Answer and manage incoming phone calls professionally
  • Schedule, confirm, reschedule, and coordinate patient appointments
  • Communicate with Spanish-speaking patients as needed
  • Assist patients with intake forms and required documentation
  • Collect and verify patient demographic and insurance information
  • Maintain accurate patient information within the electronic health record (EHR) system
  • Communicate appointment information, office policies, and general instructions clearly to patients
  • Monitor the front desk area and help maintain an organized, professional environment
  • Coordinate with medical assistants, providers, scheduling, intake, and other departments to support patient flow
  • Route messages and patient requests to the appropriate team member or department
  • Scan, upload, organize, and maintain patient documents as needed
  • Assist with medical records and other administrative requests
  • Handle sensitive patient information in accordance with HIPAA and office policies
  • Identify patient concerns or issues that require management assistance and escalate appropriately
  • Complete assigned administrative and front office tasks accurately and on time
  • Assist with additional office duties as needed to support daily operations

Qualifications

  • Bilingual English/Spanish required
  • Previous front desk, receptionist, customer service, or administrative experience preferred
  • Medical office experience strongly preferred
  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal skills
  • Professional, dependable, and punctual
  • Strong attention to detail and organizational skills
  • Comfortable handling multiple responsibilities in a fast-paced environment
  • Ability to remain professional and composed when assisting upset or frustrated patients
  • Comfortable learning and using electronic health record systems, scheduling platforms, email, and other office technology
  • Ability to work effectively both independently and as part of a team
  • Willingness to learn and follow established office procedures and workflows
