Job Summary
 

Estrella Mountain Community College (EMCC) is hiring a Property and Materials Specialist Senior to join our Budget Department. This position is responsible for coordinating the campus assets designated for surplus, which includes the preparation of items and paperwork, and ensuring delivery to the District Office location. This position oversees the inventory and procurement of stationery supplies. This position will assist with indoor and outdoor space reservations and help with small event setups based on staffing availability. 

 

To best serve the students, department, and college, this position is fully in-person. 

Essential Functions
 

30% Coordinates administrative processes related to the disposition of Surplus property and serves as the campus liaison with Administrative Services staff, District Capital Asset, and District Surplus to ensure compliance with applicable policies and procedures. Assists Facilities and Technology staff with gathering, loading, and transporting surplus equipment for weekly delivery to District Surplus. Collaborates with the Receiving Department to identify newly received or delivered capital assets, collect the required asset information, and tag the equipment accordingly, for online receiving and inventory tracking in accordance with District procedures.

 

30% Participates in the biennial inventory scanning of tagged assets. Collaborates with campus personnel to locate and reconcile missing assets. Assists with updating asset location changes in Financial Management System (FMS) and processes documents related to property control transfer, reinstatement, donation, lost claims, and disposal. Works with Technology Services on student checkouts, updating asset location in FMS, and occasionally assisting with employee checkouts. Helps with ordering door tags for new or modified buildings. Assists with re-tagging capital assets and updating the FMS system to reflect the new asset tag numbers.

 

20% Coordinates the use of assigned spaces for administrators, staff, faculty, and external customers and vendors by using the online scheduling software 25Live. Monitors the usage of spaces and make changes when requested. Assists Facilities staff with small event setups as needed.

 

10% Serves as the campus liaison for College stationery by maintaining inventory levels of commonly used stationery items, ordering supplies as needed, and coordinating the distribution and pickup of stationery requests. 

 

10% Monitors and ensures compliance with capital asset and campus policies, procedures, and established standards. Ensures adherence to workplace safety policies and regulations. Provides guidance and information on property control policies and procedures to students, faculty, staff, administrators, and other customers. Supports in developing and implementing operating procedures, best practices, and work standards related to property control and asset management.  Performs additional duties as assigned commensurate to the grade level of the position.

Minimum Qualifications
 

High School Diploma or GED and four (4) years of full-time equivalent experience providing general operational support in assignments such as copy/imaging centers, mailrooms, and/or shipping/receiving centers.

Desired Qualifications
 

1. Two (2) years of experience with inventory, surplus, and/or asset control

2. Two (2) years of experience with inventory, tracking, or scheduling systems such as Financial Management System (FMS), 25Live, or similar

3. Experience ordering supplies

4. Experience operating a forklift and/or forklift certified

5. One year of full-time, relevant MCCCD experience within the previous two years.

Special Working Conditions
 
  • Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: 
  • May be required to lift or carry up to 25lbs with or without reasonable accommodation. 
  • Occasionally work outdoors in a variety of temperatures and environmental conditions
