Job Description
We are looking for a dependable Receptionist to support daily office operations in California. This contract-to-permanent opportunity blends front-desk coordination with administrative and accounting-related support, making it ideal for someone who is highly organized, detail-focused, and comfortable working with sensitive information. The right candidate will manage multiple priorities confidently while maintaining clear communication with customers, vendors, and internal team members.
Responsibilities:
• Welcome visitors, answer and direct calls through a multi-line phone system, and create a welcoming front-office experience.
• Process accounts payable entries and assist with routine accounting tasks to help keep financial records accurate and current.
• Support payroll administration by handling assigned portions of the process in coordination with other team members.
• Post general ledger activity and provide day-to-day assistance with accounting operations as needed.
• Review sales information, identify inconsistencies or missing details, and follow through to resolve issues promptly.
• Track office and operational supply levels, place orders when needed, and maintain organized administrative inventory records.
• Prepare bank deposits, assist with payment processing, and provide backup support for accounting-related tasks such as order release coordination.
• Contact customers regarding outstanding receivable balances and maintain consistent follow-up to support timely collections.
• Assist with special projects, including gathering vendor quotes, coordinating administrative tasks, and supporting event planning.
• Maintain accurate documentation, complete assignments on schedule, and communicate effectively with customers, vendors, and internal staff.• At least 3 years of experience in reception, administrative support, bookkeeping, accounting support, or a related position.
• Demonstrated ability to manage a front desk, handle inbound calls, and work with a multi-line phone or switchboard system.
• Comfortable processing financial information with accuracy and discretion, including payable, receivable, or payroll-related tasks.
• Strong organizational skills with the ability to balance multiple responsibilities and meet deadlines consistently.
• Clear written and verbal communication skills for interacting professionally with customers, vendors, and colleagues.
• Proficiency with Microsoft Office and general business software applications.
• Ability to work independently while contributing effectively within a small team environment.
• Dependable, detail-oriented, and proactive in taking ownership of assigned work.
