Job Description
We are looking for a detail-oriented Department Assistant Receptionist to support daily front-desk and administrative operations for a healthcare activity center in Florida. This long-term contract position is ideal for someone who enjoys creating a welcoming environment while keeping office workflows organized and running smoothly. The role combines receptionist coverage, customer service, clerical coordination, and general office support in a busy setting that values clear communication and dependable follow-through.
Responsibilities:
• Welcome visitors, answer incoming calls, and provide courteous assistance to patients, staff, and guests throughout the day.
• Coordinate routine administrative tasks such as sorting and distributing mail, handling faxes, and maintaining orderly front-office records.
• Arrange travel details, organize lunch orders, and track RSVPs for meetings or department events as needed.
• Open and close the office each day while helping maintain supply levels, workspace organization, and overall cleanliness.
• Monitor shared office equipment, including printers, and report or address basic operational issues to support uninterrupted daily use.
• Complete standard clerical assignments independently and seek guidance for more complex requests or non-routine situations.
• Prepare, type, and update documents using Microsoft Office applications, including Word and Excel.
• Support department operations by following established service practices and assisting with additional administrative duties as assigned.• High school diploma or equivalent required.
• At least 2 years of customer service and/or clerical experience.
• Minimum 1 year of experience coordinating travel arrangements, lunch orders, RSVPs, and mail distribution.
• Minimum 1 year of experience supporting office operations, including opening and closing procedures, supply management, and maintaining an organized workspace.
• Working knowledge of customer service practices and the ability to interact professionally with a wide range of people.
• Strong verbal and written communication skills.
• Bilingual Spanish required.
• Ability to lift up to 30 pounds; experience with Microsoft Word and Excel and the ability to manage multiple tasks is preferred.
