Become a Clerical Assistant 2 with the Pennsylvania Department of Transportation and help keep District Office 0100 running efficiently. This role supports the Assistant District Executive for Maintenance and provides a chance to work closely with staff across the unit. You will handle important clerical tasks, prepare documents, and help maintain organized records. DESCRIPTION OF WORK
This position provides clerical and administrative support for the Assistant District Executive of Maintenance, as well as the District Office Maintenance Staff. The work helps keep schedules, correspondence, records, and daily operations organized and accurate. As a Clerical Assistant 2, you will perform the following duties:
- Communication Support: Answer and screen calls, provide customer service and forward inquiries to appropriate staff
- Document Handling: Review, prepare and distribute correspondence, maintain electronic files and manage mail for the Maintenance Unit
- Scheduling Tasks: Organize meetings, assist with travel requests and track status updates in required systems
- Hiring Assistance: Contact candidates, prepare interview packets, verify documents and assist with drug and alcohol testing procedures
- Fuel Tracking: Locate missing fuel slips, prepare monthly reports, reconcile invoices and manage fuel card inventory
- Vehicle Coordination: Update reservation systems, assist staff with vehicle scheduling and record mileage for fleet vehicles

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week.
- Work hours are 8:00am to 4:00pm, Monday-Friday, with a 30-minute lunch.
- Telework: This position may be eligible to telework part time. Specific details of the telework schedule will be discussed during the interview process. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Oil City, PA. The ability to telework is subject to change at any time.
- Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes).

QUALIFICATIONS
Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- One year or more of previous experience in the clerical field.
- One year or more of previous experience using Microsoft Office products.
- One year or more of previous experience routing/distributing mail and using a postage machine.
- Previous experience with pre-employment CDL drug and alcohol verifications and testing forms, as well as scheduling appointments for Random Drug Testing, Pre-Employment Drug Testing, and employees who are off work longer than 30 days.
- One year or more of previous experience in office work such as Scheduling and Coordinating events, meetings and or trainings.
- Two years or more of customer service background (answering incoming telephone calls, re-routing calls as a switchboard operator or speaking with customers and/or employees that come into the office).
- You must be able to perform essential job functions.
