We are seeking an experienced HOA Executive Assistant to join the Community Association team supporting attorneys handling sophisticated homeowners association condominium and cooperative legal matters. This role is ideal for a seasoned professional who values administrative excellence client coordination and long-term professional stability.


Responsibilities

  • Support file administration and matter management including organizing case documents coordinating conflict reviews and maintaining current client information with accuracy and efficiency
  • Provide calendar and scheduling coordination for assigned attorneys including managing board meeting schedules tracking important dates and coordinating communications with HOA boards and property managers
  • Conduct research on community association matters including HOA governance requirements amendments and regulatory compliance issues while supporting legal memoranda and document preparation
  • Assist with client support activities including coordinating communications with HOA clients managing expense processing billing administration and preparing materials for meetings and client engagements


Qualifications

  • Bachelor's degree or 3+ years of relevant administrative experience in a law firm community association or related professional services setting required
  • Strong organizational communication and attention to detail skills with excellent ability to manage competing priorities and interact professionally with diverse contacts
  • Demonstrated ability to work independently and collaboratively while handling sensitive information and maintaining confidentiality in a fast-paced environment
  • Proficiency with Microsoft Office Suite and legal management software platforms preferred with ability to quickly master new systems
