Job Description
The Wholesale Finance Manager reports to the controller and leads the financial operations of the Company's wholesale fuel distribution business. This position oversees wholesale accounting, billing, accounts receivable, accounts payable, customer credit management, fuel management systems, and dispatch support functions.
The role partners closely with operations, retail finance, and executive leadership to ensure accurate financial reporting, efficient cash management, strong internal controls, and exceptional customer service. The successful candidate will be a hands-on leader with strong financial expertise, operational understanding, and a proven ability to improve processes and drive results.
Key Responsibilities
- Lead and develop daily wholesale billing operations, including management of fuel and non-fuel invoicing, bill-of-lading (BOL) processing, exception management, billing backlog reduction, and billing cycle performance metrics for both accounts receivable and accounts payable.
- Lead and develop daily Treasury operations to oversee EFT processing, customer payment workflows, cash management and application activities, customer investigations.
- Ensure timely and accurate financial and tax reporting, account reconciliations, and audit support.
- Develop, maintain, and automate operational and financial reporting, including customer volume reports, contract compliance reporting, incentive tracking, profitability analysis, aged receivables reporting, and management dashboards using reporting platforms such as Power BI.
- Manage customer collections, credit exposure, and aging receivables and payables.
- Serve as administrator for ADDs and related fuel management systems to include testing, user acceptance activities, workflow design, and business process transitions impacting internal and external customers.
- Oversee customer account setup, billing configuration, discount structures, pricing maintenance, credit terms, EFT enrollment, inventory, settings, and ongoing account changes.
- Manage freight reconciliation, carrier invoice verification, transportation cost review, exception management.
- Establish and maintain effective internal controls, financial processes, and system integrity.
- Analyze and operational performance and provide recommendations to management.
- Lead special projects, process improvements, and system enhancement initiatives.
- Hire, coach, and manage department team members.
Required
- Bachelor’s degree in accounting, Finance, or related field.
- 8+ years of accounting and finance experience.
- 3+ years of leadership or supervisory experience.
- Advanced Microsoft Excel skills.
- Experience with Microsoft Dynamics GP (Great Plains) or similar ERP/accounting systems.
- Strong knowledge of financial reporting, billing, accounts receivable, cash management, and internal controls.
- Experience managing accounting operations in a high-volume business environment.
Preferred
- CPA certification and/or public accounting experience.
- 10+ years of accounting and finance experience.
- Experience managing both accounting and operational teams.
- Experience with fuel management, billing, inventory, dispatch, or logistics systems.
- Petroleum, fuel distribution, transportation, logistics, or convenience retail industry experience.
- Experience leading process improvement, automation, or system implementation projects.
