HOA Legal Assistant
Compensation: $65,000 to $77,000 base salary per year
Based in Tampa, FL, we are a diverse multi-practice commercial law firm known for its client-focused approach collaborative culture and commitment to delivering practical results. The Community Association Litigation team is expanding and seeking an experienced Legal Assistant to join a growing team handling sophisticated community association litigation matters. This role is ideal for a seasoned legal professional who values litigation support client interaction and long-term professional stability within a supportive firm environment.
Responsibilities
- Manage attorney calendars including scheduling hearings depositions mediations arbitrations client meetings and coordination with court reporters while tracking court dates discovery deadlines e-recording and filing requirements and coordinating CLE registrations Florida Bar dues and U.S. District Court annual renewals with accuracy and efficiency
- Draft edit proofread and format a variety of legal documents including pleadings motions subpoenas discovery requests and responses contracts and correspondence while calendaring and scheduling pre-suit mediations and transcribing from BigHand as required
- Save and organize client-related documents in the correct matter workspace within iManage in accordance with departmental naming conventions while conducting legal research and corporate and entity searches using Florida DBPR Property Appraiser websites and other relevant databases
- Assist with attorney expense reports unbilled time reports and entry and editing of attorney billable time in firm systems while serving as a direct point of contact for clients and maintaining compliance with firm policies procedures and legal requirements
Qualifications
- Associate degree in Paralegal Studies or related field required; bachelor's degree preferred
- 3+ years of legal assistant experience in a law firm or corporate legal department with experience in community association law or litigation preferred
- Strong organizational communication and time management skills with the ability to thrive in a fast-paced high-volume environment
- Proficiency in Microsoft Office Suite with familiarity in iManage and Aderant preferred; working knowledge of Florida and Federal Rules of Civil Procedure required with a minimum typing speed of 60 WPM
