Job Description
Our client, a well-established financial services organization, is seeking a Senior Operations Support Administrator to provide high-level administrative and operational support to leadership and business teams. This role requires a seasoned administrative professional with prior financial services experience and the ability to thrive in a fast-paced, detail-oriented environment. The ideal candidate will serve as a key partner in supporting daily business operations, managing complex administrative functions, coordinating projects, maintaining confidential financial information, and ensuring seamless office workflows. Success in this role requires exceptional organization, professionalism, attention to detail, and the ability to anticipate needs while supporting multiple priorities. Experience working within a financial advisory, wealth management, broker-dealer, investment, or related financial services environment is strongly preferred.
Responsibilities:
• Support leadership and operational teams by managing administrative tasks that keep daily activities running smoothly.
• Organize calendars, schedule meetings, coordinate conference calls, and help maintain project and team timelines.
• Prepare, update, and distribute documents, reports, and other business materials with a high level of accuracy.
• Maintain well-structured records, files, and databases while ensuring information is current and accessible.
• Respond to questions from clients, vendors, and internal partners with professionalism and timely follow-through.
• Track open tasks and action items to help ensure deadlines, deliverables, and operational commitments are met.
• Assist with onboarding activities, compliance-related documentation, and the upkeep of internal process materials.
• Arrange business travel and support logistics for meetings, projects, and other operational needs.
• Contribute to special assignments and recommend practical improvements that enhance administrative workflows and team efficiency.
• High school diploma or equivalent is required; an associate's or bachelor's degree is preferred.• At least 2 years of experience in administrative support, office coordination, operations support, or a similar role.
• Strong working knowledge of Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
• Demonstrated ability to manage calendars, organize records, and handle multiple priorities in a deadline-driven environment.
• Excellent written and verbal communication skills with a detail-focused approach to client and vendor interactions.
• Strong attention to detail, sound judgment, and the ability to work both independently and collaboratively.
• Experience supporting service-based, financial services, or planning-related environments is preferred.
• Ability to handle confidential information appropriately; familiarity with database or planning software is a plus.
