Reno, NV | $50,000–$60,000 DOE | Direct Hire | Monday–Friday

If you know construction, you know the office is where a lot of the behind-the-scenes work happens that keeps projects moving.
We're recruiting an experienced Office Manager for a well-established, growing general contractor in Reno. This is a hands-on, high-impact position supporting leadership, project managers, estimators, field teams, subcontractors, and vendors.
We're looking for someone who already understands the construction world — contracts, change orders, RFIs, submittals, lien waivers, subcontractor documentation, billing, compliance, and the constant coordination between the office and field.
This is not an entry-level administrative position. Construction industry office experience is required.

Compensation & Schedule
$50,000–$60,000 per year, depending on experience
Full-time, direct-hire position
Monday–Friday
Typical hours of 7:00 AM–4:00 PM or 8:00 AM–5:00 PM

What You'll Own
As Office Manager, you'll help keep both the business and its construction projects organized, compliant, and moving forward.
Construction & Project Administration
Support Project Managers with contracts and project documentation
Maintain project files, contracts, change orders, RFIs, submittals, permits, and closeout documentation
Track project deadlines and outstanding documentation
Coordinate communication between project teams, field personnel, clients, architects, subcontractors, and vendors
Assist with permits, licenses, and project-specific requirements
Maintain subcontractor and vendor records
Track required compliance documentation throughout the life of a project
Accounting & Financial Support
Process accounts payable and accounts receivable
Track subcontractor invoices, lien waivers, and vendor payments
Assist with payroll and employee timekeeping
Prepare and distribute invoices and progress billings
Reconcile company credit card statements
Track expenses and assist with monthly financial reporting and budgeting
Office Operations
Manage day-to-day office operations and administrative functions
Serve as a central point of communication for the office
Coordinate meetings, appointments, and company events
Maintain office supplies, equipment, and vendor relationships
Draft and distribute correspondence, reports, and internal documents
Identify opportunities to improve office procedures and efficiency
HR & Compliance Support
Maintain employee files and onboarding documentation
Coordinate new-hire paperwork, benefits enrollment, and training records
Track employee certifications, licenses, and continuing education
Maintain certificates of insurance and subcontractor compliance records
Track contractor licensing, insurance, and safety documentation
Assist with audits and regulatory reporting as needed
What We're Looking For
Construction experience matters for this position. The successful candidate should already understand how a construction office operates and be comfortable juggling multiple priorities in a deadline-driven environment.
3+ years of office management or senior administrative experience
Previous construction industry office experience required
General contractor experience strongly preferred
Working knowledge of construction terminology, contracts, and project documentation
Experience with AP/AR, invoicing, bookkeeping, or related financial administration
Familiarity with subcontractor compliance, lien waivers, and certified payroll
Proficiency with Microsoft Word, Excel, and Outlook
Experience with construction/accounting platforms such as Procore, Buildertrend, QuickBooks, or similar
Strong organizational and time-management skills
Excellent written and verbal communication
Ability to manage competing priorities without losing attention to detail
Professional, dependable, and comfortable handling confidential information
Associate degree or equivalent experience preferred
Experience supporting commercial, multifamily, or industrial construction projects is a plus.
