B2B Customer Service & Order Management Specialist
Location: Bradenton, FL
Pay Rate: $22.00–$25.00 per hour
Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
Employment Type: Long-Term Temporary Assignment, 3–6 Months, with Potential for Permanent Hire
Position Overview
We are seeking an experienced B2B Customer Service and Order Management Specialist to support customers throughout the complete order fulfillment process for a manufacturing company in Bradenton.
This is not a front-desk, receptionist, retail, or direct-to-consumer customer service position. The role supports business customers and works closely with Sales, Production, Logistics, and Accounting to manage customer orders, product availability, lead times, shipment status, delivery requirements, returns, and order-related issues.
The ideal candidate will have prior experience in a manufacturing, distribution, industrial, logistics, or B2B order-management environment. Experience using an ERP or order management system to enter, update, and track customer orders is strongly preferred.
Key Responsibilities
- Respond to B2B customer inquiries received by phone and through the Customer Service email inbox.
- Enter and maintain customer orders accurately in Syteline.
- Review orders for completeness, pricing, quantities, shipping requirements, and other order details.
- Resolve routine order discrepancies and coordinate more complex issues with Sales or the Customer Experience Supervisor.
- Provide business customers with accurate information regarding products, pricing, availability, lead times, estimated ship dates, and shipment status.
- Prepare routine customer quotations within established guidelines.
- Coordinate commercial exceptions and pricing questions with the appropriate Regional Sales Manager.
- Process order modifications, cancellations, and other changes according to established procedures.
- Prepare and send customer order acknowledgements.
- Monitor open and backlogged orders and follow up internally regarding material availability, production progress, and expected completion dates.
- Communicate shipment delays, revised lead times, and order-status changes to customers.
- Coordinate delivery requirements with Production and Logistics.
- Provide tracking information for shipments originating from Bradenton and other company locations.
- Process and follow up on drop-ship orders.
- Support daily invoicing and respond to routine invoice-related questions.
- Process routine returns, exchanges, and RMA requests.
- Maintain accurate customer, order, shipment, and delivery information within company systems.
- Communicate regularly with Regional Sales Managers regarding customer needs and order-related issues.
- Collaborate with Sales, Production, Logistics, and Accounting to resolve customer requests and maintain continuity of service.
- Escalate complex customer complaints, pricing exceptions, operational issues, and unusual situations to the Customer Experience Supervisor.
Required Qualifications
- High school diploma or equivalent required.
- At least one year of customer service, order management, sales support, logistics, or related experience.
- Previous experience supporting B2B customers strongly preferred.
- Experience working in a manufacturing, distribution, industrial, wholesale, or logistics environment strongly preferred.
- Experience entering, updating, and tracking customer orders through an ERP or order management system.
- Ability to communicate order status, production timelines, lead times, shipping updates, and delays clearly and professionally.
- Strong data-entry accuracy and attention to detail.
- Strong organization, problem-solving, and follow-up skills.
- Ability to coordinate effectively with Sales, Production, Logistics, Accounting, and other internal departments.
- Proficiency with Microsoft Office 365, including Outlook, Teams, Word, and Excel.
- English fluency, written and spoken, required.
Preferred Qualifications
- Experience with Syteline, NetSuite, SAP, Oracle, Microsoft Dynamics, AS400, or another ERP system.
- Experience with order fulfillment, backorder management, logistics, shipping coordination, invoicing, or RMA processing.
- Knowledge of HVAC, ventilation, mechanical, or industrial products.
- French-language skills are helpful but not required.
