Job Description
We are seeking a dependable and detail-oriented Orthopedic Medical Assistant to support physicians, advanced practice providers, and clinical staff in a busy orthopedic practice. The Medical Assistant will perform a combination of routine clinical, administrative, and patient-support duties to help maintain efficient patient flow, accurate documentation, and a high-quality patient experience.
This role requires strong communication skills, attention to detail, comfort working in a fast-paced environment, and the ability to support patients throughout their visit—from reception and registration through clinical intake, provider evaluation, and visit completion. The ideal candidate is self-motivated, organized, able to multitask effectively, and committed to maintaining patient confidentiality and safety.
Clinical Support
- Prepare patients for orthopedic visits by escorting them to examination rooms and obtaining relevant visit information.
- Document medications, vital signs, and the patient’s chief reason for the visit in the electronic medical record.
- Perform routine screening and measurement procedures, including height, weight, blood pressure, pulse, and temperature.
- Assist with patient positioning and prepare examination rooms, equipment, and supplies for provider examinations and approved office procedures.
- Collect blood and other laboratory specimens as requested by the physician or licensed provider, following training, facility policy, and applicable regulations.
- Perform routine, authorized laboratory tests and accurately document or transcribe results without interpretation.
- Obtain prior test results, imaging reports, laboratory results, and medical records from outside laboratories, radiology facilities, hospitals, and physician offices.
- Enter proposed orders into the EMR for review, authorization, and signature by a licensed independent provider.
- Reinforce provider instructions and explain approved treatment procedures, medications, diets, follow-up plans, and patient instructions in a clear and respectful manner.
- Support the clinical team with orthopedic patient-care coordination, including tracking orders, referrals, imaging, and follow-up needs.
- Clean examination rooms after each patient and prepare rooms for the next appointment or scheduled procedure.
- Clean, disinfect, and sterilize instruments as assigned and according to organizational policy, infection-prevention standards, and manufacturer instructions.
- Safely handle and dispose of contaminated supplies in accordance with OSHA, infection-control, and facility requirements.
- Maintain appropriate inventory levels in examination rooms and submit supply orders as needed.
Patient Flow and Administrative Support
- Follow established patient-flow procedures, including reception, registration, clinical intake, laboratory coordination, and escorting patients to the provider.
- Support visit-completion procedures by receiving encounter and referral forms, scheduling follow-up appointments, coordinating outside referrals, and updating visit logs.
- Answer incoming phone calls professionally and assist with routine scheduling, administrative questions, and message routing.
- Create and update telephone encounters in the EMR when documenting patient concerns, requests, and follow-up communications.
- Route patient messages, refill requests, clinical concerns, and administrative requests to the appropriate clinical staff member or provider.
- Schedule appointments, referrals, testing, and follow-up visits as directed.
- Maintain accurate, complete, and timely EMR documentation.
- Protect patient privacy and maintain confidentiality in compliance with HIPAA, organizational policies, and applicable New York State requirements.
- Work collaboratively with front-desk staff, providers, nurses, medical assistants, and other team members to support efficient daily operations.
Qualifications
- High School Diploma or GED required.
- Graduate of an accredited Medical Assistant program required.
- Prior medical assistant, orthopedic, musculoskeletal, sports medicine, urgent care, surgical, or outpatient clinical experience preferred.
- Computer and electronic medical record experience required.
- Knowledge of orthopedic terminology, musculoskeletal conditions, imaging workflows, referrals, and outpatient clinical procedures is preferred.
- Phlebotomy training or experience preferred.
- Strong verbal and written communication skills and professional phone etiquette.
- Excellent organizational, analytical, and multitasking skills.
- Ability to meet deadlines, manage competing priorities, and remain effective in a high-volume, high-stress environment.
- Self-directed, self-motivated, dependable, and able to identify when additional information or guidance is needed.
- Strong attention to detail and commitment to accurate documentation.
- Ability to work collaboratively as part of a multidisciplinary clinical team.
