Work Schedule: Monday–Friday, 8:30 AM–5:30 PM; 40 hours per week. Occasional flexibility may be needed for office events or meetings outside standard hours.

Job Description:
We are seeking a polished, organized, and proactive Administrative & People Operations Coordinator to support a professional corporate office in Reston, VA. This onsite position combines front-office administration, workplace coordination, employee support, and People Operations responsibilities.
The ideal candidate is someone who enjoys staying organized, interacting with people, solving day-to-day workplace needs, and taking ownership of tasks. Key Responsibilities:
- Welcome and assist visitors while providing a professional first impression of the organization.
- Answer incoming calls and help route questions or requests to the appropriate individuals.
- Oversee routine office needs, including supplies, refreshments, shared spaces, and conference rooms.
- Coordinate with building management and vendors regarding maintenance or facility-related issues.
- Help prepare meeting spaces and provide logistical support for internal meetings and office events.
- Assist with catering, materials, room setup, and post-event cleanup.
- Provide general administrative assistance to onsite employees and leadership.
- Support HR and recruiting activities, including interview scheduling, employee communications, recordkeeping, and project coordination.
- Assist with employee onboarding by coordinating workspace preparation, system access, welcome materials, and related administrative tasks.
- Help maintain employee information and records within internal HR systems.
- Assist with employment verification, expense-related documentation, benefits administration, and other routine People Operations activities.
- Enter and maintain accurate information in HR and business systems.
- Prepare reports and track administrative or employee-related activities.
- Contribute to special projects and other operational initiatives as assigned.
- Identify opportunities to improve office processes and overall workplace efficiency.
Qualifications:
- 1–2 years of administrative, office coordination, receptionist, or customer-facing experience in a professional environment; internships may be considered.
- Bachelor’s degree required.
- Strong written and verbal communication abilities.
- Professional, approachable, and service-oriented demeanor.
- Excellent organizational skills and attention to detail.
- Ability to prioritize multiple assignments and consistently follow through.
- Proactive mindset with a willingness to take initiative.
- Dependable and comfortable working independently as well as collaboratively.
- Proficiency with Microsoft Office 365, including Outlook, Word, Excel, and Teams.
- Ability to learn new technology, software, and internal systems quickly.

Additional Details:
- This is a fully onsite position in Reston, VA.
- Standard hours are 8:30 AM–5:30 PM, Monday through Friday.
- The assignment is expected to last approximately nine months, with potential for permanent employment based on performance and business needs.
- The role includes an initial training and transition period to ensure thorough knowledge transfer.
- Overtime is not anticipated and would require prior approval.
- Candidates must be able to commute reasonably to the Reston office.
