Job Purpose and Reporting Structure:
Under the direction of the Director of Human Resources, the HR Assistant provides administrative and operational support to the Human Resources department with a primary focus on recruitment, hiring coordination, and new employee onboarding.
This role is responsible for supporting the full-cycle hiring process, coordinating first-day orientation activities, maintaining accurate employee records, and assisting with essential HR administrative functions to ensure compliance, efficiency, and a positive employee experience.
Essential Duties and Responsibilities include, but are not limited to the following:
- Recruitment & Hiring Support
- Assist with recruitment activities including posting job openings, tracking applicants, and managing candidate flow.
- Conduct initial phone interviews and candidate screenings.
- Coordinate and schedule on-site interviews with hiring managers and leadership.
- Communicate with candidates throughout the hiring process, including interview confirmations, follow-ups, and next steps.
- Support pre-employment processes, including background checks and onboarding preparation.
- Onboarding & Orientation
- Coordinate onboarding meetings and activities for new hires, including preparation of new hire paperwork and onboarding materials
- Schedule and assist with first-day orientation and onboarding sessions.
- Ensure completion and proper filing of all required new hire documentation.
- Serve as a point of contact for new employees during onboarding and initial employment.
- HR Administration & Support
- Maintain and update employee personnel files (physical and electronic) in accordance with company policies and confidentiality requirements.
- Track and update employee attendance records.
- Review employee timecards for accuracy and completeness prior to payroll processing.
- Assist with basic payroll-related support and HR reporting.
- Assist with filing, document retention, and compliance-related recordkeeping.
- Respond to routine employee questions regarding HR policies, procedures, and processes.
- Provide general administrative support to the Human Resources department as needed.
- All other duties as assigned.
