Job Description
The Data Entry & Planning Specialist is an entry-level position responsible for accurate order entry, material scheduling, data management, reporting, and day-to-day coordination across departments. This role requires exceptional computer skills, advanced Excel expertise, strong attention to detail, and the ability to manage and interpret large volumes of information across multiple systems.
The ideal candidate is highly comfortable learning and navigating computer systems, working with complex spreadsheets and data, and communicating effectively with multiple departments to support efficient planning and order fulfillment.
Key Responsibilities
- Enter and maintain customer orders, production information, material requirements, and related data accurately within company systems.
- Schedule materials and coordinate required dates to support production requirements and timely order fulfillment.
- Develop, maintain, and update Excel reports used to track orders, materials, production activity, and operational performance.
- Utilize advanced Excel functions and tools to organize, analyze, reconcile, and present data effectively.
- Maintain accurate system records and databases, identifying and correcting data discrepancies, inconsistencies, and errors.
- Manage and maintain information across multiple computer systems while ensuring data integrity and consistency.
- Assist with production and material planning by monitoring schedules, priorities, and changing requirements.
- Coordinate information between departments to ensure accurate and timely communication of orders, schedules, materials, and operational changes.
- Communicate with internal teams to resolve discrepancies, clarify requirements, and ensure information is properly documented and distributed.
- Generate recurring and ad-hoc reports to support planning, scheduling, and management decision-making.
- Identify opportunities to improve data accuracy, reporting processes, system functionality, and administrative efficiency.
- Perform other data management, reporting, scheduling, and planning responsibilities as assigned.
Required Qualifications
- High-level proficiency with computer systems and Microsoft Excel. Candidates must be able to demonstrate a high level of technical competence rather than basic familiarity with these tools.
- Advanced knowledge of Microsoft Excel, including the ability to work confidently with complex spreadsheets, formulas, functions, sorting/filtering, data organization, and reporting.
- Exceptional attention to detail and accuracy when entering, reviewing, and managing data.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Ability to quickly learn and navigate new software, databases, and internal systems.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to work independently while communicating effectively with multiple departments.
- Ability to identify discrepancies and determine appropriate actions to resolve them.
- High level of accountability for the accuracy and integrity of entered and maintained information.
Education & Experience
- High school diploma or equivalent required.
- Certifications, personal projects, or practical experience may be considered in lieu of professional experience.
