We are a growing Commercial HVAC and Plumbing contractor seeking an organized and service-oriented Administrative Assistant to support our Human Resources & Payroll team. Position Summary
The Administrative Assistant is a valued member of the Human Resources and Payroll team, helping create a positive employee experience through exceptional administrative support, customer service, and collaboration with employees and leadership.
Human Resources & Payroll Administration
- Provide administrative support for the Human Resources & Payroll department.
- Maintain employee records and update information in ADP Workforce Now (WFN).
- Coordinate onboarding, data entry, employee status changes, and employment documentation.
- Support payroll processing, reporting, audits, and recordkeeping.
- Process employment verifications, garnishments, and unemployment requests.
- Prepare correspondence, reports, and departmental documentation.
- Schedule interviews, meetings, orientations, and training sessions.
- Respond to routine employee inquiries and provide excellent customer service.
- Provide backup front desk reception coverage and assist with office operations, facilities, and company events.
- Support special projects within the department and other administrative duties as assigned.
Qualifications
Required
- High School Diploma or GED.
- 1-3 years of administrative, office support, customer service, or clerical experience.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Strong organizational, communication, and time-management skills.
- Diligence and ability to maintain confidentiality.
Preferred
- Administrative experience supporting Human Resources, Payroll, Benefits, Recruiting, or Office Administration.
- Experience with ADP Workforce Now (WFN), Microsoft Word, Excel, Outlook, and Bluebeam or Adobe PDF
- Experience in construction or another fast-paced environment.
- Associate degree in a related field is a plus.
- Bilingual in English/Spanish.
