Immediate opening for a Legal Assistant in Irvine, CA who possesses:

  • 2 to 5 years of legal support experience as a Legal Assistant, Litigation Secretary, Paralegal, or similar role
  • Strong California civil litigation experience, including court filings, e-filing, service, pleadings, discovery, calendaring, and deadlines
  • Excellent organization and attention to detail with the ability to manage multiple cases and competing deadlines
  • Ability to work independently, anticipate next steps, and take ownership of assigned matters
  • Strong proofreading, writing, and professional communication skills


FULL DESCRIPTION: We are seeking a Legal Assistant to support attorneys and litigation matters within a busy and growing civil litigation law firm. This role is responsible for preparing and organizing legal documents, supporting discovery, coordinating court filings and service, maintaining case calendars and deadlines, organizing electronic case files, communicating with clients and outside parties, and helping ensure matters continue moving forward efficiently. The ideal candidate will have California civil litigation experience, strong organizational and document-production skills, and the ability to independently anticipate deadlines and next steps while maintaining accuracy in a fast-paced environment.

The selected candidate will be responsible for:

  • Preparing, formatting, proofreading, and organizing pleadings, motions, discovery, correspondence, and other legal documents
  • Assisting with discovery responses, document productions, exhibits, declarations, and litigation preparation
  • Electronically filing documents in California state and federal courts
  • Supporting CM/ECF filings as needed
  • Coordinating electronic service and maintaining filing and service confirmations
  • Managing case calendars, hearings, depositions, discovery deadlines, filing deadlines, and other litigation events
  • Reviewing incoming documents and notices to identify deadlines and required next steps
  • Maintaining accurate and organized electronic case files and case-management systems
  • Opening and organizing new matters
  • Maintaining matter information, notes, deadlines, and supporting documentation
  • Processing and organizing correspondence, records, discovery, medical records, expert materials, and document productions
  • Drafting routine correspondence
  • Coordinating signatures, appointments, meetings, and other case logistics
  • Communicating professionally with clients, opposing counsel, courts, vendors, experts, and other third parties
  • Monitoring shared inboxes, electronic notifications, and task assignments
  • Assisting with document conversion, PDFs, electronic signatures, and file transfers
  • Coordinating with process servers, court reporters, notaries, experts, and other legal vendors
  • Supporting attorneys with day-to-day litigation and administrative needs
  • Maintaining confidentiality of sensitive client and case information
  • Performing other duties as assigned

The selected candidate will also possess:

  • 2 to 5 years of legal support experience required
  • Experience as a Legal Assistant, Litigation Secretary, Paralegal, Case Coordinator, or similar legal support professional preferred
  • California civil litigation experience strongly preferred
  • Knowledge of California court filing procedures required
  • Knowledge of litigation deadlines and calendaring required
  • Experience with pleadings, discovery, motions, hearings, and general litigation workflow required
  • E-filing and electronic service experience required
  • Federal court filing and CM/ECF experience a plus
  • Strong document formatting and proofreading skills required
  • Excellent written and verbal communication skills required
  • Strong organizational and time management skills required
  • Strong attention to detail required
  • Ability to manage multiple matters, priorities, and deadlines simultaneously
  • Ability to work independently and take ownership of assigned responsibilities
  • Ability to anticipate next steps and proactively support attorneys
  • Professional discretion when handling confidential information required
  • Comfort learning new legal technology and software
  • Experience with Clio Manage and/or Clio Grow a plus
  • Microsoft Office and Outlook experience preferred
  • OneDrive, Slack, Adobe Acrobat, DocuSign, and electronic filing system experience a plus
  • Ability to work effectively in a casual, collaborative, and growing firm environment
  • Ability to work a hybrid schedule based in Irvine, CA

Physical Requirements:

  • Ability to sit and work at a computer for extended periods while preparing legal documents, reviewing case files, calendaring deadlines, and completing administrative tasks
  • Ability to use hands and fingers for typing, document preparation, filing, scanning, electronic signatures, and standard office tasks
  • Ability to review pleadings, discovery, correspondence, court notices, case records, calendars, and computer screens for extended periods
  • Ability to communicate by phone, email, video meeting, and in person throughout the workday
  • Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed
  • Ability to occasionally lift, carry, or move standard legal files, documents, binders, or office supplies as needed
  • Ability to maintain accuracy, confidentiality, professionalism, and attention to detail while managing multiple litigation deadlines and priorities
