The Medical Assistant supports physicians and advanced practice providers by preparing patients for visits, maintaining accurate clinical documentation, assisting with office-based procedures, and helping the clinic operate safely and efficiently. The ideal candidate is organized, comfortable working in a fast-paced specialty practice, and skilled at supporting patients who may be experiencing significant pain or mobility limitations.
Essential Duties and Responsibilities
Patient Care
- Welcome patients and provide a professional, compassionate experience throughout their visit.
- Escort patients to examination or procedure rooms and assist individuals with mobility needs.
- Obtain and document vital signs, pain scores, medical histories, allergies, and other required clinical information.
- Review and reconcile medications, including prescription history and reported effectiveness or side effects.
- Prepare patients for examinations, follow-up appointments, injections, and office-based procedures.
- Assist providers during examinations and procedures within the Medical Assistant’s training and authorized scope.
- Clearly communicate provider-approved instructions, including preparation requirements and follow-up care.
- Recognize urgent patient concerns and promptly notify the appropriate licensed clinical professional.
- Maintain patient privacy, comfort, and safety at all times.
Clinical and Administrative Support
- Document patient information accurately and promptly in the electronic health record.
- Review charts before appointments and identify missing records, imaging, laboratory results, referrals, or required forms.
- Process medication refill requests according to provider direction and established practice protocols.
- Support prior authorizations for medications, imaging, procedures, and durable medical equipment.
- Coordinate laboratory testing, diagnostic imaging, referrals, and follow-up appointments.
- Respond to patient calls and portal messages, routing clinical questions to the appropriate licensed team member.
- Obtain outside medical records and help ensure continuity of care with referring providers.
- Support established medication-monitoring procedures, including required forms, prescription-monitoring documentation, or specimen collection, as directed by the provider and practice policy.
- Assist with disability, leave, and other clinical paperwork as assigned.
Procedure and Clinic Support
- Prepare examination and procedure rooms before each patient encounter.
- Set up supplies and equipment using appropriate clean or sterile technique.
- Clean and disinfect rooms and equipment between patients in accordance with infection-control standards.
- Assist with inventory management and notify leadership when supplies or medications need to be reordered.
- Verify that medications and clinical supplies are stored appropriately and monitor expiration dates.
- Label, handle, and prepare specimens for transport according to practice procedures.
- Follow all safety, exposure-control, and emergency-response protocols.
- Participate in daily clinic preparation, team huddles, and end-of-day responsibilities.
Required Qualifications
- High school diploma or equivalent.
- Completion of a recognized Medical Assistant program or equivalent clinical training.
- Current Basic Life Support certification, or ability to obtain it within the practice’s required timeframe.
- Knowledge of medical terminology and basic clinical procedures.
- Ability to obtain accurate vital signs and document patient information correctly.
- Strong communication, organization, and customer-service skills.
- Ability to protect confidential information and comply with HIPAA requirements.
- Ability to work effectively with physicians, advanced practice providers, clinical staff, administrative staff, patients, and caregivers.
- Reliable attendance and the ability to manage changing priorities in a busy clinical environment.
Preferred Qualifications
- CMA, RMA, CCMA, or comparable Medical Assistant credential.
- At least one year of experience in a physician office, specialty clinic, ambulatory procedure center, or similar healthcare setting.
- Experience in pain management, orthopedics, neurology, spine care, physical medicine, or another procedural specialty.
- Experience with AdvancedMD EMR
- Experience supporting injections or other office-based procedures.
- Familiarity with medication-monitoring and controlled-substance workflows.
Knowledge, Skills, and Abilities
- Compassionate and professional communication with patients experiencing chronic pain.
- Careful attention to clinical details, documentation, and patient safety.
- Sound judgment and an understanding of when to escalate concerns to licensed clinical staff.
- Ability to remain calm and courteous during sensitive or challenging interactions.
- Ability to work independently while contributing to a collaborative team.
- Commitment to providing equitable, respectful, and patient-centered care.
