We are looking for a detail-oriented Project Coordinator to support daily project and administrative operations. This contract opportunity with potential for a permanent role is ideal for someone who enjoys keeping information accurate, organized, and accessible while helping teams stay connected and on schedule. The person in this role will provide coordination across project, field, and office activities, with a strong focus on documentation, reporting, and process support.
Responsibilities:
• Maintain accurate project information by updating spreadsheets, databases, and other tracking tools used for daily operations.
• Review submitted timesheets for completeness, make corrections when needed, and enter approved data into payroll and recordkeeping systems.
• Coordinate onboarding-related documentation for field employees, including badging materials and related administrative paperwork.
• Prepare, organize, and share routine and ad hoc reports with internal stakeholders and external contacts as required.
• Keep payroll files, work records, and supporting project documents well organized through a consistent filing and records management process.
• Act as a communication link between field teams, project staff, and the main office to help ensure timely follow-up and information flow.
• Support administrative efficiency by handling correspondence, drafting routine documents, researching questions, and routing communications to the appropriate parties.
• Protect sensitive business and employee information by handling records and communications with a high level of confidentiality.• Experience supporting projects or office operations in an administrative, project coordination, or project assistant capacity.
• Strong data entry skills with the ability to maintain accuracy across spreadsheets, databases, and reports.
• Ability to manage scheduling, prioritize multiple tasks, and meet deadlines in a fast-paced environment.
• Proficiency with standard office software, including word processing, spreadsheet, and database applications.
• Solid organizational skills with experience maintaining filing systems and project documentation.
• Effective written and verbal communication skills to coordinate with office staff, project teams, and field personnel.
• High attention to detail and discretion when working with payroll, employee records, and confidential information.
