We are looking for an experienced Administrative Assistant to support senior leadership at a fast-growing company in the natural foods and consumer packaged goods space. This role is central to keeping executive priorities organized by managing schedules, communications, travel coordination, and meeting preparation. The ideal candidate brings professionalism, strong judgment, and the ability to stay ahead of shifting needs in a dynamic business environment.
Responsibilities:
• Create high-quality presentations, written communications, reports, and other materials for senior leaders.
• Manage calendars and arrange meetings by coordinating attendees, timing, agendas, and supporting documents.
• Monitor follow-up items, deadlines, and open priorities to help leadership stay aligned on key actions.
• Organize incoming requests and sort information so urgent matters are identified and addressed efficiently.
• Support recurring reporting, special projects, and day-to-day administrative tasks with accuracy and timeliness.
• Coordinate domestic and international travel plans, including detailed itineraries and related logistics.
• Prepare and submit expense reports while maintaining complete and accurate backup documentation.
• Partner with teams across the organization to support meetings, events, off-sites, and cross-functional initiatives.
• Help streamline communication among stakeholders and provide additional executive support as priorities evolve.• 4–7 years of administrative experience supporting executives or senior leadership teams.
• Strong organization, communication, and time-management skills in a fast-paced setting.
• High attention to detail with a consistent track record of completing work thoroughly and on schedule.
• Ability to manage multiple competing requests while adapting to changing priorities.
• Confidence working independently and taking ownership of assigned responsibilities.
• Proficiency with Microsoft Outlook, Teams, Word, PowerPoint, and Excel.
• Strong interpersonal skills and the ability to build effective working relationships across departments.
• Sound judgment and discretion when handling confidential or sensitive information.
