Essential Duties and Responsibilities
- Provide direct supervision and day-to-day leadership to practice staff, including Medical Assistants and Patient Specialists.
- Ensure adequate staffing and coordinate coverage for employee absences, including sick and vacation time.
- Function effectively in both clinical and administrative support capacities as needed to support practice operations.
- Partner with leadership to identify operational challenges and opportunities and develop practical solutions to improve practice performance.
- Monitor provider schedules to ensure appropriate utilization and achievement of established benchmarks; communicate concerns or barriers to leadership.
- Evaluate staffing needs based on practice productivity, patient volume, and operational requirements, and make recommendations regarding appropriate staffing levels.
- Ensure adequate provider and staff coverage to support patient needs and continuity of operations.
- Participate in the recruitment, interviewing, hiring, onboarding, and orientation of new practice staff.
- Ensure employee performance evaluations are completed in a timely manner, establish appropriate performance goals for supervised staff, and make recommendations regarding compensation adjustments when appropriate.
- Oversee biweekly employee timesheets and monitor timekeeping activities for accuracy and compliance.
- In collaboration with the Medical Director and executive leadership, identify provider-related operational concerns and assist with resolution, communication, and follow-up.
- Collaborate with the Quality Manager and other appropriate team members on UDS, PCMH, ACO, Maine Health Home, and other quality initiatives.
- Participate in meetings and initiatives related to quality improvement, operational efficiency, and patient care.
- Evaluate workflows, systems, and processes to identify opportunities for greater efficiency, effectiveness, and continuous improvement.
- Support the development and implementation of policies and procedures related to practice operations and patient service.
- Highly organized, proactive, detail-oriented, and goal-driven.
- Strong leadership, supervisory, and interpersonal skills.
- Ability to identify problems, analyze information, and develop practical solutions.
- Ability to prioritize multiple responsibilities and work independently and efficiently.
- Strong written and verbal communication skills.
- Ability to work with and interpret large data sets with appropriate clinical guidance.
- Proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel.
